This person will bring order to our procurement, inventory, and financial operations — designing correct data models, clean automations, and reliable reporting across Purchase Orders, Sales Orders, Estimates, Bills, Invoices, and Purchase Receives. The ideal candidate has actually built or maintained a real, multi-location Books/Inventory system before — not just used one — and can speak fluently to the nuances that only show up in production: landed cost allocation, return/credit workflows, purchase-to-payment traceability, and multi-warehouse stock accuracy. What You'll Do Own the end-to-end configuration of Zoho Books and Zoho Inventory: Chart of Accounts, Items, Estimates, Purchase Orders, Sales Orders, Bills, Invoices, Purchase Receives, Credit Notes, and Payments. Design and maintain multi-warehouse/location inventory tracking, including inter-warehouse transfers and accurate stock-on-hand across locations. Set up and maintain serial and batch tracking for applicable item lines. Configure landed cost allocation for freight, duties, and other shipment-related charges, and ensure costs are correctly attributed back to the items/orders that drove them. Manage backorders, drop shipments, and sales returns, ensuring inventory and financial records stay reconciled through each workflow. Configure and maintain Transaction Approval workflows (Purchase Orders and Bills) and role-based/segmented access control so the right people have the right level of visibility and control. Ensure clean linkage across the full document chain — PO → Purchase Receive → Bill → Payment, and SO → Invoice → Payment — using native linking fields rather than ad hoc workarounds. Build Deluge-based custom functions, workflow rules, and validation rules to automate procurement and inventory processes. Integrate Books/Inventory with adjacent systems (Zoho CRM, Zoho Analytics, Shopify, and similar) where financial or inventory data needs to flow across platforms. Identify and fix data-integrity issues (e.g., mismatched item types between sales and purchase use, inconsistent numbering conventions, broken document links) proactively, not just when someone notices a report looks wrong. Build reporting and dashboards (native Books/Inventory reports and/or Zoho Analytics) that give leadership accurate, real-time visibility into purchasing, inventory value, and vendor/customer transaction history. Document system configuration, custom logic, and standard operating procedures so institutional knowledge doesn't live only in one person's head. Train internal staff on correct day-to-day use of Books/Inventory workflows (creating POs, processing returns, receiving inventory, etc.). Bug fixing Zoho Flow workflow actions and an understanding of the debugging process will be helpful. What You Bring Demonstrated, hands-on experience setting up a complete Zoho Books and/or Zoho Inventory system from the ground up — not just day-to-day usage. Be ready to speak concretely about a real system you built or owned. Deep working knowledge of core Books/Inventory concepts and how they interrelate: Estimates, Purchase Orders, Sales Orders, Bills, Invoices, Purchase Receives, Credit Notes, Payments Made/Received, and how each affects Accounts Payable/Receivable. Real experience with multi-warehouse/location management, serial/batch tracking, landed cost allocation, and backorder/drop-shipment workflows — not just familiarity with the concepts, but having actually configured and troubleshot them. Comfort with Deluge scripting for custom functions, workflow rules, and validation rules; SQL, JavaScript, or REST API experience a plus. Understanding of Zoho's role-based permissions and segmented access control, and how to design access models for teams with varying levels of trust. Experience integrating Books/Inventory with other systems (CRM, e-commerce platforms, analytics tools) via native connectors or API. Strong analytical and troubleshooting mindset — comfortable tracing a discrepancy back through the full document chain to find the actual root cause, not just the symptom. Strong organizational and communication skills; able to translate messy real-world operational needs into clean system design. 3+ years of relevant Zoho project/implementation experience. Computer science degree preferred. Must speak English well to communicate effectively with our team.
