Warehouse Manager Operation - 40 hours per week: The role is permanent, day shift; however, start / finish times must be flexible in line with business requirements. Reporting to the Head of Operations (South). The Role The Warehouse Manager will lead a team to provide a seamless contract logistics service to a range of customers in line with their volume and quality requirements. To provide leadership, motivation, training, and development of the workforce, ensuring customer requirements are always met in the safest manner possible, promoting process adherence, compliance, and continuous improvement. Summary of main tasks NATURE & SCOPE OF MAIN ACCOUNTABILITIES 1 Ensure the safety of all employees in the warehouse as a priority. 2 Ensure all employees are suitably equipped and trained to perform the warehouse processes. 3 Ensure all employees, facilities and equipment in the area of responsibility are available to work. 4 Steer on-time delivery, product quality and process adherence in accordance with the customer production schedule. 5 Solve problems related to on-time delivery, product quality and process adherence. 6 Managing operational spending for contract logistics warehouse. 7 Facilities management, incl. management of supplier and site maintenance contracts. PURPOSE AND SUBJECT OF INTERACTION WITH INTERNAL / EXTERNAL CUSTOMERS 8 Directly support own and peer groups to solve problems related to delivery throughput, process and product quality, prioritising work based on volume and quality targets. 9 Record and report working time information via time and attendance systems for direct reports in the area of responsibility and oversight for the whole area to ensure accurate and timely remuneration and compliance. 10 Communicate operational status and manage resource reallocation within the team to ensure daily duties are completed. 11 Communicate regularly with suppliers and providers to ensure business continuity. 12 Direct production process improvement activities according to company Gemba Kanri (GK) Principles and using lean tools and techniques. CHALLENGES RELATED TO INNOVATION AND CHANGE 13 Support internal GK and external customer and legislative audits through preparation and provision of information on standard processes. 14 Implement process changes to operational management relating to improvements in safety, quality, delivery, morale, cost, and environment. 15 Train, coach/mentor, review performance and motivate employees to improve their performance and support development, absence management, disciplinary, and grievance processes in line with company policies. 16 Recruit new employees (internal, external, permanent, temporary). 17 Ensure performance management, including Appraisal and Fact File processes, are conducted fairly and consistently. 18 Monitor, investigate and accurately record accidents, near misses and improvement opportunities, ensuring appropriate corrective actions are identified and implemented. 19 Problem solving for all issues and opportunities relating to delivery, product quality, and process adherence. OTHER 20 Any other duties as covered by your contract of employment. Employment accountabilities Stakeholder/Customer: - Actively ensure the customer is fully satisfied with the level of service being provided, whilst providing constant feedback to the internal groups on any potential supply issues. - Ensure the contract logistics team is aware of the importance of customer service and monitor their performance. - Support tasks externally as required. Staff/People/Team: - Enforce safe working practices and duty of care for team members. - Actively communicate with the regional head of operations and customers to effectively oversee day-to-day tasks and communicate any problems and concerns. - Delegate tasks and set objectives to the contract logistics team. - Ensure business output is achieving daily KPI’s and objectives. - Promote performance management by partnering with HR to drive a positive and consistent culture whilst supporting employee relations such as performance management, recruitment, disciplinary/capability processes, absence management and wellbeing. Processes: - Monitor the daily running of areas of responsibilities. - Monitor warehouse mapping/stock movement and space utilisation. - Ensure standard operating procedures are available and up to date. - Ensure GK compliance to meet company objectives. - Monitor the Skill Matrix to support the flexibility of the operation. - Support the operation with clear, concise decision making and problem solving. - Carryout investigations into inventory anomalies and discrepancies and ensure any subsequent actions are closed. Results: - Maintain a strong safety performance. - Achievement of daily plan in accurate/timely manner. - Ensure all visual management boards (manual and digital) are up to date. - Consistently complete accurate Audits and maintain exacting standards of housekeeping. - Consistently deliver with regards accuracy of reporting and the fulfilment of urgent customer requests. - Ensure ILU/training plan/succession plan is up to date. - Achieve personal development objectives. Financial: - L2 up to £1000.00 - Deliver operational budget for contract logistics, forecasting, monitoring costs, raising purchase requests, and identifying saving opportunities.
