This is a hands-on leadership position for someone who understands that accurate documentation, strong accountability, and disciplined operations directly affect profitability. The successful candidate will establish clear systems for ordering, receiving, storing, issuing, delivering, returning, and tracking materials while ensuring that every transaction is properly documented in the company’s CRM or inventory-management system. This individual will also play an important role in launching and developing our new electrical wholesale division. We are looking for a long-term team member who has the vision and discipline to reduce waste, prevent material loss, improve employee productivity, and help build a profitable operation. Primary ResponsibilitiesWarehouse and Inventory Management Oversee all warehouse operations, including receiving, storage, organization, staging, distribution, returns, and inventory counts. Maintain accurate, real-time records of all materials entering and leaving the warehouse. Establish designated storage locations, labeling systems, minimum stock levels, and reorder points. Ensure materials are assigned to the correct project, purchase order, employee, vehicle, or wholesale customer. Conduct routine cycle counts and full physical inventory audits. Investigate inventory discrepancies, missing materials, unexplained usage, damaged items, and unauthorized withdrawals. Maintain control over high-value equipment, specialty tools, wire, breakers, panels, solar equipment, and other materials vulnerable to loss. Create procedures for returning unused project materials to inventory. Identify obsolete, damaged, overstocked, or slow-moving inventory and recommend appropriate action. Maintain a clean, safe, secure, and professionally organized warehouse. Material Ordering and Vendor Management Review project plans, scopes, material lists, and field requests before placing orders. Purchase electrical, solar, low-voltage, and general construction materials based on approved project requirements. Confirm pricing, quantities, availability, lead times, delivery dates, and order accuracy. Compare vendor pricing and negotiate better purchasing terms whenever possible. Build and maintain strong relationships with suppliers, manufacturers, and wholesale representatives. Prevent duplicate, unnecessary, rushed, and unauthorized purchases. Track backordered materials and communicate possible project delays to management. Verify that all vendor invoices match approved purchase orders, quantities received, and agreed pricing. Monitor material price changes and identify purchasing opportunities that improve company profit margins. Material Pickup, Delivery, and Accountability Prepare complete material packages before crews leave for a project. Provide the foreman or delivery driver with an itemized material list. Require photographs of all staged materials before pickup or delivery. Obtain signed acknowledgment from the employee receiving responsibility for the materials. Record the employee’s name, project, date, time, vehicle, and materials released. Require crews to document shortages, damaged items, unused materials, and additional material requests. Ensure no employee removes materials, tools, or equipment without authorization and documentation. Investigate claims that materials were not received by comparing signed records, photographs, delivery documentation, and CRM entries. Coordinate deliveries to reduce jobsite downtime and unnecessary employee trips. Monitor emergency material runs and identify recurring planning or performance issues. Staff Leadership and Productivity Supervise warehouse employees, drivers, delivery personnel, and supporting staff. Assign daily responsibilities and establish clear performance expectations. Train employees on inventory controls, material handling, safety, documentation, CRM use, and company procedures. Confirm that employees complete required tasks accurately and on time. Monitor attendance, punctuality, productivity, overtime, and proper use of company time. Identify unnecessary labor costs, workflow inefficiencies, and staffing gaps. Recommend improved schedules, assignments, training, or staffing levels based on actual operational needs. Hold employees accountable for company property, documentation, job performance, and workplace conduct. Conduct regular staff meetings and communicate priorities, shortages, scheduling needs, and operational concerns. Develop dependable team members who understand the importance of accuracy, urgency, and accountability. Fleet Oversight Oversee the company’s medium-sized fleet of service vehicles, delivery vehicles, and work trucks. Maintain a current record of vehicle assignments, mileage, registration, insurance, maintenance, repairs, and inspections. Schedule preventative maintenance to reduce breakdowns and costly emergency repairs. Monitor fuel usage, mileage, tolls, parking expenses, vehicle damage, and unauthorized use. Require drivers to complete vehicle condition reports and immediately report accidents, warning lights, damage, or mechanical problems. Confirm that vehicles contain the correct tools and materials for assigned work. Maintain clean and organized vehicles and conduct routine inspections. Track keys, fuel cards, registration documents, and assigned equipment. Coordinate repairs while minimizing disruption to field operations. Report repeated vehicle misuse, neglect, unsafe driving, or unexplained expenses to management. CRM, Documentation, and Reporting Use the company’s CRM, inventory system, or project-management platform accurately and consistently. Ensure purchase orders, receipts, invoices, inventory transfers, deliveries, photographs, signatures, and returns are attached to the correct project. Create clear digital records that management can review and audit. Ensure warehouse employees and field personnel follow documentation procedures. Prepare weekly reports covering: Purchases and material expenses Inventory discrepancies Missing or damaged materials Emergency purchases and material runs Employee productivity and overtime Fleet expenses and maintenance Vendor pricing and performance Wholesale sales and margins Recommended cost-saving measures Maintain records that support job costing, billing, financial review, and management decisions. Work closely with accounting, project management, field supervisors, and company leadership. Quality Control and Loss Prevention Inspect received materials for correct quantity, condition, model number, and project specifications. Verify material packages before they are released to the field. Establish checkpoints to prevent incorrect materials from reaching jobsites. Implement controls that reduce theft, waste, duplicate purchasing, over-ordering, and unreturned materials. Identify patterns of repeated shortages, unexplained material usage, excessive labor time, or avoidable project delays. Protect company assets without interfering with productive field operations. Recommend corrective action when procedures are not followed. Maintain secure access to the warehouse, equipment, vehicles, and high-value inventory. Wholesale Division Development Assist management with launching and growing the company’s electrical wholesale division. Help establish wholesale inventory, pricing structures, vendor accounts, customer records, order procedures, and profit-margin requirements. Identify fast-moving electrical products and appropriate stocking levels. Develop procedures for customer quotes, sales orders, deposits, pickups, deliveries, returns, and warranty claims. Monitor cost, selling price, gross margin, and inventory turnover. Help create a professional counter-sales and customer-service process. Build relationships with contractors, electricians, builders, property managers, and other potential wholesale customers. Identify opportunities for profitable growth without creating unnecessary inventory exposure. Provide management with regular reports regarding sales activity, profitability, customer demand, and product performance. Required Qualifications Minimum of 5 years of experience in warehouse management, logistics, supply-chain operations, inventory control, construction materials, or a related field. Previous experience supervising employees and holding teams accountable. Strong understanding of purchasing, receiving, inventory tracking, distribution, and loss prevention. Experience using a CRM, ERP, inventory-management, or project-management system. Strong computer skills, including email, spreadsheets, digital documentation, and reporting. Ability to read purchase orders, invoices, material lists, and basic project documentation. Strong mathematical, analytical, problem-solving, and organizational skills. Excellent attention to detail and commitment to accurate documentation. Ability to manage multiple priorities in a fast-moving construction environment. Valid driver’s license and acceptable driving record. Ability to communicate professionally with employees, vendors, customers, field supervisors, and management. Demonstrated dependability, integrity, sound judgment, and consistent follow-through. Preferred Qualifications Formal education, certification, or military training in logistics, supply-chain management, warehouse operations, transportation, or inventory control. Experience working for an electrical contractor, electrical supply house, solar company, low-voltage contractor, or construction company. Knowledge of electrical materials, tools, equipment, part numbers, and common manufacturers. Experience managing a company vehicle fleet. Experience developing or managing wholesale or counter-sales operations. Familiarity with job costing, purchasing analysis, profit margins, and operational reporting. Experience creating standard operating procedures and training employees. OSHA, forklift, fleet-safety, or warehouse-management certification is a plus. Bilingual English and Spanish is helpful but not required.
