This is a specialised ICT role within the premium cigar and luxury retail sector. You will work closely with management, retail teams, software and website developers, external IT service providers and international business partners to analyse existing systems, identify operational requirements and translate business needs into practical technology solutions. The role goes beyond general IT support. You will be responsible for understanding how the business operates across multiple retail locations, identifying inefficiencies within current systems and workflows, and recommending improvements to system functionality, data structures, integrations and operating processes. Due to the specialised nature of our product range and regulatory environment, strong knowledge of the premium cigar and tobacco industry is essential. Professional fluency in both English and Mandarin Chinese is also required, as the position involves regular communication with Chinese-speaking technology providers, suppliers and business partners, including the interpretation and communication of technical requirements, product information and system documentation.. Key responsibilities · Analyse existing POS, inventory management, product database, website and e-commerce systems and recommend improvements to functionality and business processes. · Work with management, system users, developers and external technology providers to gather, analyse and document business, functional and system requirements. · Review current workflows, identify system limitations, inefficiencies and operational risks, and conduct As-Is and To-Be process analysis. · Translate business requirements into clear functional specifications, system requirements and practical implementation recommendations. · Analyse and improve multi-location retail workflows including sales, receiving, stock transfers, stocktakes, inventory adjustments, returns, lay-bys, quotations and product reservations. · Investigate discrepancies between physical inventory and system records, determine root causes and establish appropriate system or process controls. · Maintain and improve product database structures, product categorisation and data standards across retail and online systems. · Manage specialised product data including brands, ranges, vitolas, dimensions, packaging configurations, SKUs, pricing and inventory structures. · Develop and improve system logic for products sold in different formats, including boxes, individual units, packs and samplers. · Analyse data flows and integrations between POS, inventory, website, customer and order management systems, and identify data synchronisation issues. · Work with software and website developers to communicate functional requirements, system changes and identified technical issues. · Develop and perform functional testing and User Acceptance Testing for new systems, system modifications and new functionality. · Validate system functionality and data integrity following upgrades, configuration changes or implementations. · Prepare and maintain system documentation, workflows, functional requirements, procedures and user guidance, and support staff training when new systems or processes are introduced. · Monitor relevant Australian regulatory developments affecting tobacco retail, e-commerce, privacy and online business operations, assess their impact on company systems and processes, and translate relevant requirements into system controls and procedures. · Communicate technical requirements, system issues and business processes with Chinese-speaking IT providers, suppliers and business partners in both English and Mandarin Chinese. About you To succeed in this role, you will have: · A Bachelor's degree or higher in Information Technology, Information Systems, Computer Science, Cyber Security or a closely related discipline, or equivalent relevant professional experience. · Professional experience in Systems Analysis, ICT Business Analysis or a closely related ICT role. · Strong experience analysing business processes and existing ICT systems. · Experience gathering and documenting business, functional and system requirements. · Experience preparing functional specifications, process documentation and system workflows. · Experience working with databases, POS systems, inventory management systems or e-commerce platforms. · Experience with functional testing and User Acceptance Testing. · Strong analytical, troubleshooting and problem-solving capability, with excellent attention to detail. · The ability to work confidently with complex product, inventory and transactional data. · The ability to communicate effectively with management, operational users, developers and external technology providers. · Professional fluency in both spoken and written English and Mandarin Chinese, with the ability to accurately communicate technical concepts, system requirements and business processes in both languages. Specialist industry knowledge · Strong knowledge of the premium cigar and tobacco industry, including major brands, product ranges, vitolas, dimensions and packaging formats. · An understanding of how specialised cigar product structures translate into product databases, POS configurations, inventory controls and e-commerce systems. · An understanding of retail inventory processes within a specialist tobacco environment. · The ability to independently research and remain current with Australian regulatory requirements affecting tobacco retail, online sales, e-commerce and related digital business systems. Highly regarded · Experience with multi-location retail systems. · Experience with POS and inventory management systems. · Experience with product information management or structured product databases. · Experience with e-commerce, website systems, system integration or data synchronisation. · Experience within premium cigar, tobacco, luxury retail or another highly regulated retail environment. · Experience working with software developers, website developers, overseas IT teams or technology providers. · Experience with data governance, inventory reconciliation or process improvement projects.
