Studio Operations Manager
About Haus of B Haus of B is a boutique fitness and wellness studio in Austin focused on creating an elevated, welcoming, and highly personalized client experience. We are looking for an organized, proactive Studio Operations Manager to oversee the systems, people, and daily details that keep the business running smoothly. This is a hands-on role for someone who enjoys building structure, solving problems, supporting a team, and creating an exceptional experience for every client who interacts with the studio. Previous experience in the fitness or wellness industry is strongly preferred. The Role The Studio Operations Manager oversees day-to-day studio operations, client support, staff coordination, scheduling, administrative systems, and internal communication. This person will work closely with the owner and serve as a central point of contact for the front desk team, instructors, clients, vendors, and community partners. The ideal candidate is detail-oriented, dependable, comfortable making decisions, and able to move between immediate studio needs and longer-term operational projects. They should be confident managing multiple priorities without losing track of the small details. Key ResponsibilitiesStudio Operations Oversee daily studio operations and ensure the space is prepared, organized, and running smoothly Manage front desk scheduling and support the front desk team with questions, priorities, and operational needs Coordinate schedules, schedule adjustments, private appointments, and substitute coverage Manage class schedules, client accounts, memberships, and reporting through Mariana Tek Monitor class schedules and business performance to identify opportunities for improvement Manage studio inventory, supply ordering, maintenance requests, and vendor coordination Manage Wix website Maintain accurate studio calendars, operating documents, checklists, and internal resources Identify gaps in existing processes and develop more efficient, repeatable systems Client Experience Manage client communication through email, phone, and text Assist with memberships, account questions, freezes, cancellations, scheduling, and studio policies Resolve client concerns professionally and know when an issue should be escalated to the owner Support sales follow-up and lead tracking Ensure clients consistently receive a warm, responsive, and polished experience Team Support and Administration Onboard new front desk employees and instructors using established training materials and checklists Lead monthly front desk meetings focused on operations, client experience, and sales Communicate schedule changes, promotions, events, and studio updates to the team Support teacher training logistics and scheduling Maintain organized staff resources and operational files Assist with payroll preparation twice per month by reconciling classes, private appointments, events, services, and front desk hours Marketing and Events While this role is primarily operational, it also supports the execution of studio marketing initiatives. Coordinate promotional rollouts across the studio’s systems and client touchpoints Build and schedule email campaigns, newsletters, and automated client communication Create and update promotional materials, signage, and digital assets in Canva Make basic updates to the studio’s Wix website, including promotions, events, and studio information Support community events and brand partnerships by organizing timelines, logistics, team communication, and promotional needs Ensure promotions and offers are communicated accurately across email, advertising, signage, the website, and front desk materials create email marketing campaigns through Mariana Tek Software What We’re Looking For Previous experience in fitness, wellness, studio operations, or hospitality. Understanding of the pace, scheduling needs, and client expectations of a boutique fitness environment Excellent organizational and time-management skills Strong written and verbal communication Ability to manage multiple priorities and follow projects through to completion Confidence handling client concerns and enforcing policies professionally Strong attention to detail, especially when working with schedules, payroll information, and client accounts Proactive problem-solving skills and the ability to work independently A collaborative, team-oriented attitude Comfort learning and managing multiple software platforms Preferred Experience Previous experience working in a boutique fitness or wellness studio Experience with Mariana Tek or a similar fitness studio management and booking platform Working knowledge of Wix, including making basic website updates Proficiency in Canva and the ability to create polished, on-brand marketing materials Staff scheduling and onboarding Payroll preparation or timekeeping Membership-based business operations Email marketing and client automations Xplor Growth, NetGym, Gusto, Google Workspace, or Notion Event coordination and community partnerships Schedule This position is approximately 10-20 hours per week and requires a consistent in-person presence at our Austin studio, with limited remote flexibility for designated administrative work. Some schedule flexibility may be required for studio events, staff training, or time-sensitive operational needs.
