We are seeking a Studio Operations Manager to serve as the operational backbone of the business, including owning client experience, project flow, vendor relationships, and studio systems end to end. Working closely with the designer, you will help manage the many details behind our interior design projects. This is not a design role, but it requires someone who deeply appreciates the design process, thrives in a detail-oriented environment, and finds genuine satisfaction in building systems that let creative work flourish. The right candidate is a proven self-starter who can manage day-to-day operations independently, anticipate needs before they become issues, and continuously identify opportunities to improve studio workflows and processes. Core Responsibilities 1. Studio Operations & Project Management - Oversee day-to-day studio administration, including calendars, scheduling, records, and files. - Run internal team and project meetings, setting weekly priorities and ensuring follow-through. - Manage the studio's project management platform (currently Asana) to track tasks, coordinate project logistics, and handle system setup and maintenance. - Develop, document, and implement standard operating procedures that streamline workflows and support the studio's growth. - Partner with the Principal Designer on process improvement, capacity planning, and delivering a seamless experience for clients and the team. - Support recruitment and onboarding, including coordinating interviews, preparing new hire materials, and helping integrate new team members into studio systems. 2. Client Process Management - Coordinate the full client lifecycle, from scheduling initial inquiry calls with the Principal Designer through onboarding, active project support, and offboarding. - Own the studio's CRM platform (currently HoneyBook), keeping client records, communications, and workflows organized and up to date. - Independently manage client-facing administrative touchpoints, including welcome packets, questionnaires, file setup, and final deliverables. - Manage gifting for current and past clients to nurture long-term relationships and referrals. - Oversee client feedback surveys and ensure every offboarding experience reflects the studio's high service standards. 3. Vendor & Trade Management - Build and maintain strong working relationships with vendors, manufacturers, sales representatives, artisans, trade partners, receivers, and delivery companies. - Establish and manage trade accounts, including applications, resale documentation, and ongoing correspondence. - Own and continuously improve the studio's vendor and trade records, including account details and discount tracking. - Source new vendors and showrooms as the studio's project scope requires. 4. Order & Delivery Coordination - Track orders from placement through delivery, following up with vendors to keep timelines on schedule. - Manage damages, backorders, and other issues as they arise, coordinating claims, replacements, and resolutions with vendors. - Assist the design team with reselections when items are delayed, discontinued, or damaged. - Coordinate deliveries and installations with the design team to ensure a smooth, well-prepared install day. Provide additional design and project support as needed. What We’re Looking For - At least 3+ years of experience in operations management, studio management, client experience, and/or project coordination; background in a design, architecture, or luxury creative services environment strongly preferred. - Experience with procurement, purchasing, order management, inventory, showroom operations, or high-end/specialty retail is highly valued. - Exceptionally organized, detail-oriented, dependable, and proactive. - Strong ability to manage multiple orders, projects, deadlines, and priorities simultaneously. - Warm, polished, and comfortable interacting with interior design clients, vendors, and trade professionals. - Able to work independently, anticipate needs, solve problems, and take initiative. - Proficient with email, spreadsheets, calendars, and general office software. - Proficiency with project management tools (e.g. Asana or similar) and/or ability to quickly learn new platforms - A genuine interest in interior design and an appreciation for furniture, textiles, antiques, art, and home furnishings. - Able to occasionally lift, move, organize, and handle merchandise, fabric books, samples, and other materials. - Must be able to reliably commute to our Gloucester, MA studio for this in-person position. What Success Looks Like - The Principal Designer is able to focus on design and client relationships, with operational and administrative work fully handled. - The studio and showroom run smoothly day to day, even as priorities shift, with orders, vendors, samples, merchandise, showroom customers, and client project prep all handled seamlessly. - Vendor relationships are strong, and all vendor, procurement, and project records are current, accurate, and easy to access. - The team has clear weekly priorities and the systems and support to deliver. - The studio's systems are well-documented, scalable, and ready to support continued growth. - Nothing slips through the cracks: outstanding orders, vendor emails, upcoming deliveries, and missing details are tracked and resolved correctly and on time. - Next steps are anticipated, so deliveries, client meetings, and project milestones are prepared for before they arrive. - A working knowledge of fabrics, furniture, custom products, and materials continues to grow, regardless of prior design experience.
