ABOUT THE ROLE The Studio Manager plays an integral role in the day-to-day running of Glowing Structures, offering a unique mix of organisation, administration and creativity. Working closely with the Design Director and wider team, the role spans studio operations and administration, alongside the more creative aspects of the business including marketing, social media, awards submissions and presentations. As the central point of coordination across the studio, you'll keep things organised and running smoothly while also bringing a creative eye to the delivery of marketing and communications within Glowing Structures' established brand and visual identity. JOB TITLE Studio Manager PAY Dependent on experience JOB TYPE Full Time | Fixed Term Contract LOCATION Glowing Structures, 541 Chapel Street, South Yarra 3141 VIC MANAGER Design Director, Adam de Guara ABOUT GLOWING STRUCTURES Glowing Structures is an award-winning architectural lighting design studio based in South Yarra, Melbourne. We work across a diverse range of projects, collaborating with some of the country's leading architects, interior designers and developers. We are a small, close-knit team with a collaborative and hands-on approach to both our work and studio culture. KEY RESPONSIBILITIES Studio Management Oversee the day-to-day operations of the studio. Coordinate office administration and ensure the smooth running of daily activities. Maintain studio systems, procedures and filing systems. Coordinate office supplies, equipment and general facilities. Liaise with IT providers, contractors, suppliers and building management. Coordinate internal meetings and studio events. Identify opportunities to improve studio processes and efficiencies. Ensure a professional and welcoming studio environment for staff and visitors. Executive & Administration Support Provide day-to-day administrative and operational support to the Design Director. Assist with fee proposals, tenders and other business development documentation. Prepare presentations and supporting documentation. Assist with managing priorities, follow-ups and general business matters. Assist with project and client-related administration as required. Project Support Support project administration. Set up new projects across team software and platforms. Assist the design team with general administration. Coordinate client communications where required. Assist with the preparation of concept design presentations as required - optional Marketing & Business Development Manage and update social media platforms. Maintain project folios and marketing content. Maintain website updates. Prepare award submissions. Prepare project specific folios and supporting material for fee proposals and tender submissions. Coordinate project photography. Liaise with photographers, editors and marketing contacts. Gallery Support Assist the Design Director with day-to-day Gallery coordination. Assist with gallery hire enquiries, bookings and agreements. Liaise with artists, exhibitors and external collaborators as required. Assist with coordinating exhibitions, installations and openings. Coordinate gallery marketing and promotional content. Assist with artwork sales and associated administration. ABOUT YOU The ideal candidate is highly organised, proactive and enjoys working across a broad range of responsibilities. You're approachable, dependable and comfortable communicating with everyone from the internal team to clients and external consultants. Most importantly, you're someone who enjoys variety and is equally comfortable keeping the studio organised as you are getting involved in the creative and marketing side of the business. SKILLS & EXPERIENCE Essential Previous experience in a Studio Manager, Office Manager or similar role. Excellent organisation and time management skills. Strong written and verbal communication skills. High attention to detail. Proficiency in Microsoft Office Suite. Experience using Adobe InDesign. Experience with social media and content creation. Desirable Experience within architecture, design or another creative industry. Experience using Adobe Photoshop. Experience coordinating marketing activities. Experience with awards and tender submissions. Experience using Xero or other accounting software and general accounts administration. Work Location: In person
