Founded in London in 2007, our work spans architecture, interior design, hospitality, F&B, commercial, residential and multidisciplinary design. As our UK studio continues to grow, we are looking for an organised, proactive and dependable Studio Administrator to support the day-to-day running of the practice. This is an important position within the studio. We are looking for someone who enjoys creating order, keeping things moving and making sure actions do not disappear between meetings, emails and deadlines. The Role The Studio Administrator will provide day-to-day administrative and operational support across the UK studio. You will work closely with the Principal and wider team, helping coordinate diaries, meetings, documents, project administration, office requirements and general business operations. This is not simply a reception role. We want someone who notices what needs doing, takes responsibility for it and follows it through. You should be comfortable working in a creative environment where several projects and priorities may be moving simultaneously. Some days will be structured and predictable. Others will require you to reorganise priorities quickly, chase information, arrange an urgent meeting or solve a practical problem. You should enjoy being the person who helps keep everything organised behind the scenes. What You'll Be Doing You will support the smooth day-to-day operation of the studio, including: managing general studio administration; monitoring shared administrative inboxes where required; organising meetings and appointments; coordinating diaries; preparing meeting rooms and information; maintaining contact directories; coordinating travel and accommodation where required; managing couriers, deliveries and post; ordering office supplies and consumables; liaising with suppliers and service providers; maintaining subscriptions and administrative records; supporting general studio organisation; maintaining professional presentation of the studio environment; helping coordinate visitors, clients and consultants. You will be expected to identify routine requirements without waiting to be instructed every time. Project Administration You will provide administrative support to project teams across multiple live projects. This may include: setting up new project records; maintaining project contact lists; arranging client and consultant meetings; circulating meeting invitations; preparing agendas; taking and issuing meeting minutes where required; maintaining action trackers; following up outstanding actions; assisting with project correspondence; maintaining project filing; assisting with document registers; supporting drawing and document issue administration; tracking submissions and responses; helping coordinate site visits; maintaining project information on internal systems; assisting teams with general project administration. You will not be responsible for architectural or technical decisions, but you will play an important role in ensuring that project administration is organised and current. Document & Information Management Good information management is important to how DiA operates. You will help maintain: project folders; administrative records; templates; correspondence; registers; meeting records; company documentation; internal databases; SharePoint / cloud filing; Notion workspaces and trackers. You should be comfortable working within established naming and filing systems and willing to challenge poor administrative habits when information is not being stored correctly. Accuracy matters. Documents should be easy to find, correctly named and properly recorded. Actions & Follow-Up This is a particularly important part of the role. We are looking for someone who is comfortable chasing things . That may mean: reminding a team member about an overdue action; following up a consultant; checking whether information has been received; confirming that a meeting has been arranged; checking whether documentation has been returned; following up an outstanding administrative item; ensuring agreed actions are actually completed. We do not want actions simply recorded on a list. We want them progressed and closed. Principal & Management Support You will provide day-to-day administrative support to the Principal and studio leadership. This may include: diary coordination; meeting scheduling; preparing meeting information; travel arrangements; organising correspondence; maintaining action lists; following up agreed actions; assisting with presentations and documents; general administrative support. The role requires discretion and good judgement when handling confidential business information. Finance Administration Working with the Principal, external accountant and relevant team members, you may assist with: maintaining invoice records; issuing approved invoices; recording supplier invoices; tracking purchase documentation; expense administration; following up administrative information relating to payments; maintaining basic financial records and trackers; collating information for the accountant; assisting with timesheet administration. You will not be expected to perform the role of an accountant or bookkeeper unless separately agreed. People & HR Administration You may support routine people administration including: employee records; onboarding documentation; induction arrangements; holiday records; sickness records; training records; probation and review scheduling; recruitment administration; interview scheduling; preparing standard documentation; maintaining confidential personnel files. You will work within established company procedures and maintain appropriate confidentiality at all times. Recruitment Support As the studio grows, you may assist with: posting vacancies; receiving applications; maintaining candidate records; arranging interviews; communicating with candidates; coordinating interview diaries; preparing interview information; maintaining recruitment trackers; assisting with onboarding successful candidates. Studio Systems DiA uses digital systems to organise projects and business operations. You should be comfortable learning and maintaining systems such as: Microsoft 365; Outlook; Teams; SharePoint; Notion; Excel; Word; PowerPoint; PDF/document-management software. You do not need to be an IT specialist. You do need to be confident with technology, willing to learn and disciplined about keeping information current. About You Previous experience within an architecture, interior design, engineering, property, construction or other professional design environment would be advantageous, although it is not essential for an exceptional candidate. You should have: strong organisational skills; excellent attention to detail; good written and spoken English; professional telephone and email communication; confidence dealing with clients, consultants and suppliers; good Microsoft Office / Microsoft 365 skills; strong diary and meeting-management capability; good document-management habits; the ability to manage several priorities simultaneously; discretion when handling confidential information; confidence following up outstanding actions; a practical and solutions-focused attitude. Experience with SharePoint, Notion or similar project/business-management platforms would be advantageous. The Person We're Looking For The most important quality for this role is follow-through . If you are given something to organise, we should not need to remember to ask whether it happened. You should naturally think: What needs doing? Who needs to do it? When is it required? Has it happened? If not, what is stopping it? We are looking for someone who: takes ownership; is naturally organised; notices details; follows things through; is comfortable chasing people politely; communicates clearly; keeps accurate records; can prioritise; remains calm when plans change; is willing to ask questions; does not leave problems sitting unattended; enjoys helping a team operate effectively. We value initiative, but also judgement. Being proactive does not mean making decisions outside your responsibility. It means recognising what needs attention and ensuring the appropriate person deals with it. What This Role Is Not This is not a passive reception position. It is also not currently a Studio Manager position. You will not be expected to make architectural, technical or senior commercial decisions. Instead, you will become an important part of the operational backbone of the studio — making sure that administration, information, meetings and actions are properly organised around the people making those decisions. Development We are looking for someone who wants to grow with the studio. As DiA's UK operations expand, there will be opportunities for the successful candidate to develop greater responsibility across studio operations, project administration and business support. For the right person, a future progression route could develop towards Studio Coordinator / Studio Manager , based on capability and the needs of the practice. Salary & Location Salary: depending on experience and capability. Location: London / Kent. Position: Full-time, permanent. This is primarily a studio-based position.
