Staffing Manager (Events)

At MSL, we design, build and deliver live events for leading global brands, from exhibitions and trade shows to roadshows and product placements across the UK. Much of our work is in the automotive world, so our crew are on the ground at some high profile events.

None of that happens without the right people, and we’re looking for a Resource Manager to take charge of staffing our events.

About the role As a brand new role, you’ll own our pool of casual crew, making sure every event has the right people, with the right skills, in the right place at the right time. Every crew member who heads out to an event will be scheduled, briefed and equipped under your watch, with their hours and timesheets managed when they return.

It’s a varied, people-focused role. One day you might be forecasting crew needs or running a recruitment drive, and the next you’ll be finding last-minute cover when a brief changes. Acting as the link between our project teams, logistics and warehouse, you’ll turn event briefs into the right crew plan and keep communication flowing between departments.

You’ll also have the scope to make the role your own and improve how we plan, train and book our crew.

Key responsibilities

• Forecast crew needs from the project calendar, spotting peaks and gaps early so cover is secured in advance
• Grow and maintain a reliable pool of skilled casual crew, keeping records up to date and supporting recruitment drives
• Make sure crew are trained, compliant with health and safety, and familiar with our event assets and equipment to support on-site builds
• Schedule crew through existing scheduling software, and make sure everyone arrives briefed and equipped
• Manage changes, cancellations and last-minute cover quickly and calmly
• Manage crew performance, hours, timesheets and expenses, keep crew within working-time limits and work with Finance so everyone is paid correctly and on time
• Report on crew utilisation, capacity to the Head of Operations, with a continous improvement mindset.

What we’re looking for You’ll be highly organised and a natural people person, the kind of person who enjoys juggling many moving parts and building strong relationships across a business. You’ll also stay calm and quick-thinking when plans change at short notice.

Essential:

• Proven experience in resource planning, crew scheduling or workforce co-ordination
• Experience managing people and performance, including casual staff
• Experience forecasting demand and planning capacity from a project calendar or pipeline
• Confident using workforce management software and spreadsheets to track utilisation and data
• A confident communicator who works well across departments and can brief crew clearly
• Flexibility during busy event periods, which may include occasional evenings or weekends to manage short-notice changes or attend events on site
• A continuous improvement mindset, always looking for better ways to plan, train and book crew
• Able to commute to our Alton site daily
• Full UK driving licence

Desirable:

• Experience in events, live environments or experiential marketing
• Experience organising staff training or health and safety compliance
• Experience improving scheduling processes or rolling out workforce tools
• An interest in experiential marketing and a passion for the automotive sector

Pay: £32,000.00-£38,000.00 per year
