Senior HR Executive – Recruitment

About Chamberlain Services Chamberlain Services is a growing facility and cleaning services company supporting more than 100 client locations with approximately 200 frontline employees. As we continue to expand, we are looking for a hands-on Senior HR Executive – Recruitment to take ownership of frontline manpower recruitment and build a strong, reliable recruitment pipeline. About the Role This role is suitable for someone who enjoys fast-paced, high-volume recruitment and is comfortable recruiting operational/frontline employees across multiple locations. You will not simply coordinate interviews. You will be responsible for ensuring that manpower requirements are filled on time and that new hires successfully report for work and remain with the company. Key Responsibilities 1. Recruitment & Manpower Fulfilment Manage end-to-end recruitment for cleaners, supervisors and other operational positions. Understand manpower requirements, urgency and deployment dates from HR and Operations. Source candidates through Facebook, Indeed, referrals, walk-ins, recruitment partners and other appropriate channels. Screen candidates and conduct or coordinate interviews. Follow up actively with candidates from initial enquiry until reporting for work. Coordinate job offers, documentation, onboarding and deployment with the HR and Operations teams. Maintain sufficient candidate pipelines for recurring and urgent manpower requirements. Support recruitment for new project and client site launches. 2. Recruitment Planning & Pipeline Management Maintain an accurate recruitment tracker covering vacancies, candidates, interviews, offers, joining dates and outstanding positions. Monitor recruitment funnel performance, including candidate response, interview attendance, offer acceptance, joining rate and early retention. Identify positions or locations that are difficult to fill and develop alternative sourcing strategies. Build and maintain recruitment channels instead of relying only on reactive hiring when vacancies arise. Forecast upcoming recruitment needs together with HR and Operations. 3. Recruitment Performance Work towards agreed manpower fulfilment and time-to-fill targets. Monitor candidate no-shows and early turnover and identify the reasons behind them. Improve recruitment quality by reviewing 7-day and 30-day retention of new hires. Track the effectiveness and cost of different recruitment channels. Provide regular recruitment updates and highlight manpower risks before they affect operations. 4. HR & Team Support Work closely with the Assistant HR Manager, HR Executive, HR Intern and Operations team. Guide junior HR team members involved in sourcing, screening, interview scheduling and onboarding. Support employee relations, documentation and general HR activities when required. Participate in continuous improvement of Chamberlain’s recruitment and onboarding processes. Job Requirements Essential Diploma or Bachelor’s Degree in Human Resources, Business Administration, Management or a related field. Approximately 3–5 years of HR/recruitment experience, with strong hands-on recruitment exposure. Experience managing high-volume or frontline recruitment. Able to independently manage multiple vacancies and recruitment pipelines simultaneously. Strong candidate follow-up and communication skills. Organised and disciplined in maintaining recruitment trackers and follow-ups. Comfortable working in a fast-moving operational environment where manpower requirements can change quickly. Able to work closely with Operations and understand the business impact of unfilled positions. Good working knowledge of Microsoft Excel/Google Sheets and recruitment platforms. Good communication skills in Bahasa Malaysia and English. Strongly Preferred Experience recruiting employees in one or more of the following industries: Cleaning / facility management Security Retail F&B Hospitality Warehousing / logistics Manufacturing Other high-volume frontline workforces Experience recruiting foreign workers or managing frontline employee documentation would be an advantage.
