We provide investment management, retirement and tax planning, estate planning coordination, insurance analysis, and related financial consulting services. We are seeking a candidate to fill an experienced financial services support & operations role that will deliver quality client support, manage complex account activity, and strengthen the systems and workflows that support our business. Position Overview The Senior Client Service & Operations Associate will be an integral part of client engagement with True North Financial Planning and an operational partner to the firm's financial advisors. The position requires meaningful wealth-management support experience, strong judgment, and the ability to manage sophisticated client and account situations from initiation through completion. The ideal candidate has experience with high-net-worth and mass-affluent clients; traditional and alternative investment products; and a variety of account types and ownership entities. The role also carries responsibility for improving internal efficiencies as client needs, technology, and industry requirements evolve. Key ResponsibilitiesClient Service and Account Operations · Serve as a knowledgeable and responsive point of contact for True North Financial Planning clients, handling requests from both clients and advisors, documentation, coordination, and follow-through. · Coordinate client onboarding as well as ongoing household and account activity. This includes account creation, transfers of assets, money movement, beneficiary and ownership changes, and account maintenance. · Prepare, review, process, and complete documentation for qualified and non-qualified accounts, including individual, joint, retirement, trust, estate, custodial, business, brokerage, and advisory accounts. · Support transactions involving investments (including annuities, insurance products, structured products, and alternative investments), including subscriptions, redemptions, capital calls, and related documentation. · Coordinate on behalf of the advisors and clients of True North Financial Planning with associated sponsors, insurance providers, back office and custodian representatives. · Report and monitor key business revenue flows that occur on a periodic basis, insuring that delays or difficulties in securing payment are addressed in a reasonable timeframe. This includes qualified plan revenue, financial planning fee revenue, and commissions paid from applicable providers. · Proactively monitor business being processed, and resolve issues, transfer delays, account restrictions, rejected paperwork, and other operational issues; escalate matters when needed. · Maintain complete, accurate, and well-organized client records while exercising discretion with confidential financial, estate, and tax information. Planning and Advisor Support · Gather and organize information used in retirement, investment, tax, insurance, estate, and cash-flow planning. · Coordinate tax-sensitive activity such as retirement distributions, Roth conversions, and charitable contributions. · Prepare for client meetings, track action items, and keep CRM and planning systems current. Operations, Technology, and Process Improvement · Maintain and improve the firm's procedures, workflows, checklists, templates, service standards, and internal controls. · Identify bottlenecks, recurring errors, unnecessary duplication, and appropriate opportunities for automation or improved processes. · Support effective use of workflow and document management across all CRM, custodian, and Microsoft 365 systems. · Assist with system enhancements, technology adoption, data cleanup, reporting, and scalable process design while protecting client information and meeting privacy, cybersecurity, and compliance requirements. Required Qualifications · Five or more years of relevant experience in wealth management, financial planning, RIA, broker-dealer, family office, trust company, insurance organization, or similar financial-services environment. · Significant experience supporting high-net-worth and ultra-high-net-worth clients and managing complex account and investment situations. · Working knowledge of investments, including annuities, insurance products, structured products, and alternative investments. · Experience with individual, joint, retirement, trust, estate, custodial, and business accounts, including openings, transfers, distributions, ownership changes, and beneficiary matters. · Basic understanding of retirement, tax-sensitive, estate, trust, and insurance-planning concepts. · Strong proficiency with Microsoft Excel, Microsoft Teams and Microsoft 365, CRM systems, and financial-services technology platforms. · Excellent communication, organization, attention to detail, judgment, discretion, problem-solving, and follow-through. · Ability to manage multiple priorities independently while collaborating effectively with advisors, clients, colleagues, and outside professionals. Preferred Qualifications · Direct experience with LPL Financial's ClientWorks platform and related LPL tools. · Experience in an independent financial-advisory or wealth-management firm. · Experience with private credit, private equity, private real estate, nontraded investments, direct investments, annuities, insurance, or structured products. · Experience improving workflows, implementing technology, using AI tools responsibly, or automating operational processes in a regulated environment. · While a remote position, local availability for potential meetings within the greater Philadelphia or tri-state (PA, DE, NJ) areas. · Advanced Excel skills; insurance licensing, or relevant professional credentials are beneficial but not required. · Bachelor's degree in finance, accounting, business, economics, technology, or a related field preferred.
