As we embrace the changes in today’s environment, Philippine British will be there… by your side. _______________________________________________________________________________________ The Sales Support Assistant is a critical administrative and operational role designed to provide comprehensive support to the Sales & Marketing Department, specifically focusing on the efficient management of the Agency channel. The primary objective is to ensure that all sales intermediaries (Agents and Agencies) are fully accredited, compliant with Insurance Commission (IC) regulations, and operationally supported to drive business growth. The role acts as the central liaison between the sales force and internal head office departments (Finance, Underwriting, Compliance). JOB RESPONSIBILITIES: 1. Agent/Agency Licensing and Accreditation (Primary Focus) - Manage the end-to-end process of new agent onboarding, including collecting requirements, vetting applications, and ensuring compliance with company and Insurance Commission (IC) standards for licensure. - Facilitate the annual renewal of agent and agency licenses, ensuring timely submission of IC requirements and internal documentation to avoid lapses in authority. - Maintain and update the accredited agent/agency database, ensuring all records, certificates, and appointments are current and accurate within the company's system. 2. Regulatory Liaison and IC Compliance - Coordinate directly with the Finance Department’s Taxation and IC Compliance unit to ensure all regulatory submissions related to agents are accurate and filed on time. - Keep abreast of Insurance Commission circulars and memoranda affecting sales intermediaries; disseminate relevant updates to the sales team and ensure internal processes are adjusted for compliance. - Assist in preparing reports required by the IC concerning agency operations, licensing status, and commission structures. 3. Onboarding and Training Coordination - Coordinate the new agent onboarding program, ensuring a smooth transition into the company ecosystem, including system access, product kit dissemination, and introduction to the sales team. - Organize and schedule product training, sales technique workshops, and compliance seminars for agents and agency staff, including booking venues, preparing materials, and tracking attendance. - Maintain records of agent training hours and certifications. 4. Records Administration and Sales Support - Maintain a robust document management system for all agent-related contracts, licenses, and correspondence, ensuring confidentiality and ease of retrieval. - Process agent commission queries and resolve discrepancies in coordination with the Finance department. - Provide general administrative support to the Sales & Marketing team, such as preparing sales kits, generating periodic sales performance reports, and managing departmental correspondence. 5. Inter-Departmental Coordination - Act as the primary point of contact for Sales & Marketing with other departments: - Underwriting: Coordinate on policy issuance for priority accounts and clarify underwriting guidelines. - Legal/Compliance: Ensure contracts and agency agreements are legally compliant. - IT: Facilitate system access and resolve technical issues for agents. - Operations: Streamline documentation flow for new business and renewals. QUALIFICATIONS: - Bachelor’s degree in Business Administration, Marketing, Finance, Legal Management, or any related field. - Minimum of 1-2 years of experience in an administrative or sales support role, preferably within the Philippine non-life (general) insurance or financial services industry. - Fresh graduates with a strong internship background in compliance or administration may be considered. - Industry Knowledge: Familiarity with basic general insurance products (e.g., Motor Car, Property, Marine, Casualty) and agency distribution channels in the Philippines. - Regulatory Compliance: Basic understanding of Insurance Commission (IC) rules and regulations governing sales agents and brokerages (essential due to the dotted-line reporting to Finance Compliance). - Administrative Skills: High level of organization, attention to detail, and accuracy in documentation and record-keeping. - Communication: Strong verbal and written communication skills to liaise professionally with internal stakeholders and external agents. - Technical Skills: Proficiency in MS Office Applications (Excel, Word, PowerPoint, Outlook). Experience with core insurance systems (e.g., SAP, Infor) is an advantage. - Soft Skills: Proactive, service-oriented, capable of handling pressure and deadlines, and able to work with minimum supervision. - Attention to Detail & Accuracy: Essential for licensing and compliance documentation. - Teamwork and Collaboration: Ability to work effectively across various departments. - Time Management: Ability to prioritize tasks and meet strict regulatory and internal deadlines. - Integrity: High standard of professional ethics, especially when handling regulatory and financial data.
