Sales Administrator
Position Play a crucial role in administrative operations, providing vital support to the Store Manager and ensuring seamless coordination within the store. Responsible for back-of-house, inventory and support activities, ensuring maximum cooperation with the sales team in the achievement of the store targets. Job responsibilities Manage and supervise store operations administration and all related cycle, quarterly and annual inventory activities. Notification of quarterly inventory date to team Investigate stock discrepancies and prepare update to SM on stock discrepancies. Advise on all back-office activities such as data entry into the proper software system, product receiving at store, check between physical items received and invoice, incorrect product receiving management together with the regional logistics department. Receiving stocks, CA will check the stocks and put them into selling shelf and do data entry of goods receipt into internal POS system. Goods receipt discrepancies and report to RLC on delivery. Defective products report to AFSS. / RLC if beyond repair. Inter-transfer btw stores (physical delivery of store). Monthly stock rebalancing (btw stores) and buy back Perform after sale service activities such as taking items to repair in charge of the sale staff, contacting repair centers, organizing item shipment to repair center. Perform weekly price tagging activities related to all items, from product receiving to reprising. Request price tags from RLC and tag to products with CA presence. Customer enquires (via phone) on products/ pricing/ repairs/ exchange/ or transfer calls to CA. Contact IT/system suppliers in case of malfunctioning or damage to any hardware/software device. Contact suppliers/ vendors for any store quarterly maintenance issue (pass/ license/ renovation permit/ night work permit etc.) providing prompt and provide update to the store manager. Prepare maintenance report and tracking of completion deadline. Support and manage all administration support and paperwork (roster planning, leaves, petty cash claims, pantry & stationery replenishment, issuance of uniforms etc.), employee events Security guard management Night work guard engagement Vendor Printer Chubb (CCTV & Safe) –maintenance Pest control Carpet shampooing Lift maintenance/ Lighting Archive documents to storage warehouse Periodical cleaning Petty cash management (finance and employees) Banking Coordinate HR activities (store visit, employee engagement activities) *Above list is only a reference list only Instore Customer events support Onsite coordination of catering location in store on actual event Support the CAs in packing/ payment in gift wrapping to complete the sales. Support uniforms order, issuance, alternation (timing with tailor), collection (exit)/ returns (exchange) and destruction of old sets of uniforms Prepare reports for Store Manager Usage of packaging for RLC (consumption report) on monthly basis and analysis on order for following months (based on store trend). Provide RLC quarterly update on Ordering and tracking of packaging items (submit to RLC) Month end sales report on sales Monthly Leave report and planning CRM gifting report Preparation of monthly briefing minutes Any ad-hoc duties and support as needed. Contact point for office and store. Profile Academic / Professional Qualifications Speak and write fluent Vietnamese and English. Meticulous and able to work in a fast-paced environment.
