What began as Rappahannock Oyster Company has grown into a collection of independent restaurants built around the same connection to food, place, and hospitality. Today our restaurants include Merroir in Topping, Virginia; Rappahannock Restaurant in Richmond; Rappahannock Oyster Bar at The Wharf in Washington, D.C.; Rappahannock Oyster Bar at The Cigar Factory in Charleston; and Rappahannock Oyster Bar at ROW DTLA in Los Angeles. We remain owner-operated and relatively small by design. The people running our restaurants know the owners, and the people supporting them are close to the business rather than buried inside a large corporate structure. That is particularly true of this position. We are looking for an experienced restaurant accounting professional who can take real ownership of the accounting function across our restaurant group. This person will work directly with ownership, our Director of Operations, our General Managers, and our outside accountant. Our accounting system is Restaurant365 , and deep, hands-on R365 experience is essential. The role The Restaurant Accounting Manager will own day-to-day accounting for our five restaurant entities and Rappahannock Restaurant Group. This is a senior individual-contributor position. You will be responsible for the work itself, not managing a large accounting department or simply reviewing what someone else has prepared. Much of the job is the detailed, recurring accounting work that keeps restaurants running properly: daily sales, invoices, payments, reconciliations, payroll entries, taxes, and month-end close. We need someone who genuinely enjoys making the numbers tie and keeping the books clean. But this role also requires the experience and judgment to recognize when something is wrong, understand why it is wrong, and get it fixed. When an invoice is missing, a daily close is incomplete, cash does not reconcile, or something is flowing incorrectly between systems, you will work directly with the restaurant team to understand what happened and resolve it. We are looking for someone who is comfortable in the details, analytical when the situation requires it, communicates well with restaurant operators, and can be trusted to own the accounting process without constant oversight. What you'll own Restaurant365 and multi-entity accounting Maintain accurate books in Restaurant365 for five restaurant LLCs and the Rappahannock Restaurant Group management entity. Maintain appropriate separation among legal entities, locations, vendors, accounts, and transactions. Process and review Daily Sales Summaries, including sales, comps, discounts, gift cards, third-party transactions, cash over/short, tips, and labor accruals. Manage accounts payable, including coding, matching, payment preparation, and resolution of invoice or receiving discrepancies. Maintain clean item, category, and unit-of-measure data necessary for useful food and beverage costing. Post and reconcile payroll journal entries against Restaurant365 labor accruals. Reconcile bank accounts, credit cards, merchant accounts, gift cards, clearing accounts, and other balance-sheet accounts. Own month-end close, including cutoff, accruals, reconciliations, review of unusual activity, and preparation of financial reporting for ownership. Produce accurate restaurant-level and group-level reporting. Investigate and resolve integration, mapping, and posting issues rather than allowing unresolved items to accumulate. Participate in and help lead recurring P&L reviews with restaurant management and company leadership. Restaurant systems Our primary systems are: Restaurant365 for accounting and restaurant reporting Toast for point-of-sale, sales, and labor data Fintech for beverage purchasing and distributor transactions Paychex for payroll You should be comfortable tracing transactions among systems, identifying why something does not reconcile, and getting it corrected. Working with restaurant operators Work directly with General Managers to resolve missing invoices, incomplete daily close-outs, DSS exceptions, coding questions, and cash discrepancies. Follow accounting issues through to resolution. Help GMs understand the accounting processes and information they are responsible for. Recognize when an issue can be solved directly and when it genuinely needs to be escalated to the Director of Operations. This requires both persistence and good judgment. We are looking for someone who can build productive relationships with restaurant operators while maintaining high accounting standards. Payments and cash controls Prepare the weekly payment and check run. Review proposed payments with the Director of Operations before release. Issue approved payments and maintain appropriate supporting documentation. Manage positive pay and other routine banking controls. Prior positive-pay experience is required. Taxes and external accounting Manage the accounting information and reconciliations necessary for timely sales-tax and other recurring filings across multiple states and jurisdictions. Maintain accurate taxable and non-taxable sales mapping between Toast and Restaurant365. Ensure tax filings reconcile to the accounting records. Prepare quarterly financial information for our outside tax accountant. Coordinate year-end workpapers and post adjusting entries. Maintain organized support for financial reporting, tax filings, and year-end work. Process improvement We want someone who will improve the accounting operation, not simply inherit it. That includes identifying recurring errors, unnecessary work, weak controls, and opportunities to use Restaurant365 more effectively. You will also document important procedures so the accounting process is clear, repeatable, and not dependent on what one person happens to know. What we're looking for At least three years of hands-on Restaurant365 accounting experience in a multi-unit restaurant environment is required. We are looking for someone who has used R365 as a core accounting system, not someone whose exposure has been occasional or limited to one part of the platform. Strong candidates will have substantial experience with: Restaurant365 DSS, AP, GL, banking, reconciliations, payroll entries, reporting, and period close Multi-unit restaurant accounting Accounting for multiple separate legal entities Toast or another restaurant POS integrated with Restaurant365 Restaurant payroll reconciliation Beverage purchasing systems such as Fintech or a comparable platform Multi-state sales-tax accounting Month-end close and balance-sheet reconciliations Positive pay and weekly payment processes Working directly with restaurant General Managers Coordinating with outside CPA or tax accountant Strong Excel skills Restaurant experience matters. We are looking for someone who understands the accounting realities behind sales, cash, tips, comps, gift cards, third-party transactions, payroll, inventory, and vendor activity in a restaurant environment. Location and schedule This position may be performed remotely from within the United States. The normal schedule is Monday through Friday during Eastern Time business hours. Travel to Richmond, Virginia is expected approximately once per quarter, with occasional additional travel for specific business needs. All required business travel is paid by Rappahannock Restaurant Group. A downtown Richmond office is available for someone who prefers to work locally. Compensation and benefits Base salary: $75,000–$100,000, commensurate with experience.
