Job Title: Registered Nurse Medical Virtual Assistant – Primary & Functional Medicine Position Type: Part-time | 20 hours per week, with potential opportunity to transition to full-time Schedule: Monday–Friday | 9:00 AM–1:00 PM Pacific Time (initial schedule; hours may be subject to change based on business needs) Location: Remote – Philippines Pay Rate: $6–$7 USD per hour About the Client Our client is a U.S.-based physician-led medical practice focused on personalized care, primary care, wellness, functional and integrative medicine, and longevity. The practice is looking for an experienced Registered Nurse / Medical Virtual Assistant who can provide reliable clinical and administrative support while delivering a professional and positive experience for patients. About the Role This role is ideal for an RN with hands-on medical practice experience , particularly in family medicine or internal medicine, who is comfortable working with EMRs, communicating directly with patients, and supporting day-to-day clinical workflows. Your primary responsibilities will center around Ultralight EMR , prescription and prior authorization workflows, pharmacy coordination, and patient communication. Responsibilities 1. EMR & Clinical Support — Primary Focus Become proficient in Ultralight EMR and manage assigned clinical and administrative tasks within the platform. Complete all assigned EMR tasks within 24 hours (Primary KPI). Support prescription refill workflows and prior authorizations. Coordinate with pharmacies to confirm receipt of prescriptions and obtain medication-related updates. Follow up with patients to communicate actions taken and relevant updates. Respond to patient messages and emails in a timely and professional manner. Learn and use the practice's supplement platform as needed. Work with Hint , the payment platform integrated with Ultralight. 2. Patient Communication & Front-End Support Serve as a professional and articulate voice of the practice when communicating with patients, pharmacies, and other contacts. Handle patient phone calls and inquiries professionally. Schedule and reschedule patient appointments. Provide timely follow-up on patient requests, including prescription and prior authorization-related matters. Maintain clear, courteous, and professional communication across phone, email, and patient messaging. 3. Email & Administrative Support Help manage the practice's support email inbox. Respond to non-patient-related email inquiries. Triage emails and draft responses as needed. Use provided FAQ resources to respond accurately and consistently to common inquiries. 4. Additional Business Support - As Needed Assist with Instagram posting and caption creation. Conduct research related to wellness, functional medicine, and integrative medicine. Download, review, and check requested information as needed. Provide general business and administrative support. Training & Resources: The client will provide comprehensive orientation and training materials, along with FAQ resources, to help you learn the practice's systems, processes, and workflows. Requirements Registered Nurse (RN). Actual hands-on experience working in a medical/clinical practice , not solely general virtual assistant experience. Hands-on clinical experience in family medicine and/or internal medicine. Strong experience using EMR/EHR systems. Ability and willingness to learn Ultralight EMR quickly. Experience supporting clinical workflows and patient communication. Strong verbal and written English communication skills. Clear, professional, and confident communication over the phone and through email. Comfortable learning new healthcare technology and platforms. Reliable and able to consistently meet assigned deadlines and responsibilities. Able to provide consistent, longer-term commitment to the role. Preferred Qualifications Previous experience using Ultralight EMR. Experience in primary care, functional medicine, integrative medicine, wellness, or longevity. Hands-on experience with prescription refills, prior authorizations, pharmacy coordination, and patient follow-ups. Experience supporting physicians or other medical professionals. Experience with email triage and healthcare-related research. Familiarity with social media posting and caption creation. What Success Looks Like The successful VA will: Complete assigned EMR tasks within 24 hours. Accurately support prescription refill and prior authorization workflows. Provide timely updates to patients regarding their requests. Communicate professionally and courteously with patients and pharmacies. Accurately relay pharmacy information regarding medications. Respond to patient inquiries and emails in a timely manner. Maintain reliable attendance and consistent availability during scheduled Pacific Time hours. Basic Requirements Must speak and write English clearly and professionally. Must have relevant work experience. Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding (mandatory). Must be available to attend video meetings with camera on when required.
