Property Operations Officer
Job Summary: We are seeking a proactive and highly organized Property & Facilities Administrative Assistant to manage day-to-day property operations, maintenance, tenant relations, leasing, and documentation across commercial and residential properties. I. Main Responsibilities: 1. Facilities Oversight & Asset Preservation Daily Operations: Ensure the commercial building and all condo units are maintained in peak functional and aesthetic condition. Supervision: Provide daily oversight to site caretakers; ensure tasks are delegated clearly and results are monitored (e.g., cleaning schedules, security protocols, and utility readings). Maintenance Coordination: Troubleshooting and managing repairs (HVAC, plumbing, electrical). Maintain a vetted list of reliable suppliers and contractors. Asset Accountability: Maintain a 100% accurate registry of property assets, ensuring all items are tagged, documented, and functional. 2. Tenancy & Lease Management Tenant Relations: Serve as the primary point of contact for a diverse tenant base (approx. 10–15 accounts), handling concerns, requests, and house rule enforcement with professional diplomacy. Financial Diligence: Oversee the collection of rents, CUSA, and utilities. Lease Lifecycle: Manage the full administrative cycle of a lease—from move-in inspections and fit-out monitoring to contract renewals and move-out clearances. 3. Leasing & Portfolio Optimization Occupancy Lead: Maintain zero vacancy by managing digital marketing across various platforms (Facebook Marketplace, Lamudi, Rentpad, etc.). Inquiry Management: Respond to all inquiries within a high-standard timeframe, conduct site viewings, and drive prospects toward lease closure. Market Intelligence: Stay updated on market rental rates in the Makati and provincial areas to ensure the portfolio remains competitive. 4. Strategic Property Research (Growth) Investment Scanning: Conduct weekly research to identify 5–10 new commercial or residential properties for potential investment or development. Due Diligence: Prepare comparison studies for management review, including traffic counts (human/vehicular), zonal values, and neighborhood demographic analysis. Data Accuracy: Verify legal documents (Titles, Tax Declarations) and maintain an organized digital database of all researched prospects. 5. Regulatory Compliance & Document Control Permit Management: Ensure all properties comply with local government and environmental regulations (DENR, LLDA, Business Permits). Information Governance: Maintain a highly organized "Single Source of Truth" for all property files in Google Drive, ensuring all records are digitized, categorized, and easily retrievable. II. Key Qualifications: Operational Autonomy: Ability to manage daily site issues and make decisions without constant supervision. Strategic Thinking: Capable of analyzing data and "seeing the potential" in new property investments. People Oversight: Experience in delegating tasks to and managing the performance of site-based staff (caretakers). Administrative Excellence: Highly organized with a "clean desk" approach to digital filing and document monitoring. Technical Savvy: Proficiency in Google Workspace, real estate portals, and basic understanding of building systems (CCTV, WiFi, Electrical).
