# Property Management Administrator **Cathay Land Inc.** · Silang · `On-site` 🕒 **Статус:** *Опубликовано: 6 дней назад* · *Источник: Indeed* --- ### About the Role Property Management Administrator Location: Silang, Cavite Work Schedule: Monday to Friday, 8:00 AM – 5:00 PM Employment Type: Full-time Job Summary We are looking for a Property Management Administrator who will be responsible for the administrative and operational coordination of assigned residential and commercial properties. The position will work closely with property managers, homeowners' associations (HOAs), condominium corporations, clients, unit owners, tenants, contractors, vendors, and internal departments to ensure the proper administration, maintenance, construction compliance, turnover, and overall management of assigned properties. The successful candidate must be an Engineer with at least one (1) year of Property Management experience gained from a real estate developer . Key Responsibilities Coordinate and address concerns of clients, unit owners, tenants, HOAs, condominium corporations, and other property stakeholders. Serve as a primary administrative contact for assigned properties and coordinate with Property Managers, contractors, vendors, and concerned departments. Act as Property Manager for designated properties, including GVT, when required. Ensure compliance with company policies, Deeds of Restrictions, construction guidelines, and property-specific rules and regulations. Attend HOA, Condominium Corporation, and Association meetings and coordinate the resolution of concerns raised by stakeholders. Monitor residential and commercial construction activities, including retail units, RFO units, amenities, common areas, and other assigned property areas. Conduct site inspections and monitor construction progress, workmanship, schedules, approved plans, and construction compliance. Coordinate repairs, maintenance, renovation, and corrective works with contractors, vendors, property owners, Property Managers, and concerned departments. Monitor preventive maintenance activities for equipment and facilities and coordinate necessary corrective actions. Review pre-construction requirements and supporting documents prior to commercial unit construction. Process and issue Notices to Proceed, Work Permits, and Entry Passes upon completion of required documentation and approvals. Conduct inspections and coordinate corrective works until satisfactory completion. Issue Certificates of Final Inspection when applicable requirements have been satisfactorily completed. Review construction bond refund requirements and process the necessary documentation. Handle billing and collection administration for properties under assigned responsibility, including preparation of Statements of Account (SOAs) and monitoring of association dues and other applicable charges. Coordinate with concerned departments and associations regarding billing concerns, outstanding accounts, payment status, and account reconciliation. Coordinate property turnover to Condominium Corporations, HOAs, Associations, and other concerned parties. Monitor turnover requirements, punch lists, and rectification works until completion. Assist the Turnover Team in RFO unit turnover, inspections, and punch listing. Prepare PMD memos, letters, notices, site reports, management reports, and other official property-related communications. Maintain accurate and updated records of property activities, inspections, construction works, client concerns, billing and collection matters, and turnover requirements. Assist in audits, HOA General Assemblies, strategic planning, reporting, and other departmental activities. Recommend and coordinate improvements to property management administrative and operational processes. Perform other related duties and responsibilities that may be assigned from time to time. Qualifications Bachelor's degree in Engineering or a related field. Must be an Engineer. At least 1 year of Property Management experience, preferably gained from a real estate developer. Experience in residential and/or commercial property management is highly preferred. Knowledge of technical drawings, building codes, construction standards, safety regulations, and property maintenance . Experience in construction monitoring, site inspection, turnover, and contractor coordination is an advantage. Strong administrative, documentation, coordination, and reporting skills. Proficient in Microsoft Office applications , particularly Word, Excel, and PowerPoint. Strong analytical, problem-solving, and decision-making skills. Excellent communication and stakeholder management skills. Able to work independently and manage multiple tasks and priorities. Willing to conduct regular site inspections and coordinate with various stakeholders.
