Property Operations Coordinator Property Management Company – Residential Portfolio We are an established and growing property management company. We are looking for a reliable, organised and practical Property Operations Coordinator to join our team. This is a hands-on role involving regular visits to properties, inspections, move-ins and move-outs, utility management, keys, tenant visits and general operational support. The successful candidate must be comfortable working both in the office and travelling between properties. Main Responsibilities Carry out regular inspections of properties within our portfolio. Complete move-in and move-out property inspections. Take photographs and prepare clear inspection reports. Take gas, electricity and water meter readings where required. Check the condition of rooms and properties when tenants move out. Report damage, maintenance issues and other concerns to the relevant team member. Keep records of utility suppliers for each property. Transfer utility and council tax accounts into the correct tenant or landlord name. Ensure property-related bills and correspondence are sent to the correct address where required. Review property bills and advise the Accounts Department who is responsible for payment. Follow up outstanding utility or billing issues. Oversee electricity submeters at relevant properties and ensure tenants are being charged correctly for their electricity usage. Attend properties when tenants need to be spoken to regarding outstanding issues. Assist Accounts with property visits relating to serious rent arrears where required. Manage property keys and arrange replacement or duplicate keys when necessary. Provide access to contractors and other authorised persons. Check completed maintenance works when requested. Assist with property licence applications, including HMO and selective licensing. Assist with gathering photographs, documents and property information required for compliance. Assist with finding tenants, carrying out viewings and tenant sign-ups when required. Help ensure properties are ready for new tenants. Maintain accurate records of inspections, keys, utilities and outstanding property issues. Work closely with our Accounts, Lettings and Maintenance/Compliance teams. What We Are Looking For The ideal candidate will be: Highly organised and reliable. Confident working independently. Comfortable visiting tenants and residential properties. Good at dealing with tenants, landlords and contractors. Practical and able to identify basic property and maintenance issues. Able to manage a large number of tasks and properties. Confident using email, spreadsheets and property management systems. Able to take clear photographs and write simple reports. Professional and confident when dealing with difficult situations. Willing to assist other members of the team when required. Previous experience in property management, lettings, estate agency, housing, facilities management or inspections would be an advantage, although the right attitude and organisational skills are equally important. Essential Requirements Full UK driving licence Must have own car Good spoken and written English Good organisational skills Comfortable travelling regularly between properties Reliable and able to take responsibility for completing tasks About the Role This is an important position within our growing property management business. You will work alongside our existing Accounts, Maintenance/Compliance and Lettings teams and will take responsibility for helping us maintain proper oversight of our growing property portfolio. We are looking for someone who takes ownership of their work, notices problems before they become bigger problems and makes sure tasks are followed through until completed. Pay: £24,000.00 per year Work Location: In person
