The Position

We are seeking an experienced Project Manager to lead the implementation of a new Human Resources Information System (HRIS) across the firm. This is an initial 6-month contract role with the potential for extension.

Reporting to the project oversight team, the successful candidate will serve as the primary project lead and key representative for Forvis Mazars throughout the implementation lifecycle. Working closely with the software vendor, implementation consultants and internal stakeholders, the Project Manager will ensure the successful delivery of the new HR platform from planning through to post-go-live support.

This role requires a hands-on project leader who can coordinate multiple workstreams, challenge and validate proposed solutions, manage risks and dependencies, and ensure the system is configured to meet business requirements. The successful candidate will work across HR, Payroll, IT, Finance and business leadership teams to drive decision-making, maintain project momentum and deliver a successful implementation that supports future organisational growth and operational efficiency.

Previous experience implementing Personio or a similar HRIS solution is highly desirable, although candidates with strong systems implementation experience in other environments will also be considered.

Key Responsibilities

Project Leadership & Governance

  • Lead the end-to-end implementation of the new HRIS from project initiation through to post-implementation support.
  • Develop and maintain project plans, timelines, resource schedules and governance structures.
  • Establish project reporting, risk management and escalation frameworks.
  • Monitor project progress against agreed objectives, milestones and budgets.
  • Provide regular status updates to senior leadership and project steering committees.
  • Manage project risks, issues, dependencies and decisions to support successful delivery.

Vendor & Implementation Management

  • Act as the primary liaison between Forvis Mazars and the HRIS vendor implementation team.
  • Manage vendor deliverables, project milestones and implementation timelines.
  • Ensure proposed system configurations align with agreed business requirements.
  • Challenge recommendations where necessary and ensure appropriate solutions are identified and implemented.
  • Monitor vendor performance and escalate delivery risks, issues or delays.
  • Coordinate internal resources and ensure organisational responsibilities are fulfilled within agreed timelines.
  • Assess and manage scope changes, additional costs and implementation impacts.

Stakeholder Management

  • Build strong relationships with key stakeholders across HR, Payroll, Finance, IT and the wider business.
  • Facilitate workshops, requirement-gathering sessions and project review meetings.
  • Drive stakeholder engagement and ensure timely decision-making throughout the project.
  • Provide effective communication and reporting across all project workstreams.

Requirements Gathering & System Design

  • Review existing processes and identify opportunities for improvement, automation and standardisation.
  • Work with stakeholders to define future-state business requirements.
  • Ensure requirements are documented, prioritised and incorporated into implementation plans.
  • Coordinate reviews of workflows, approval processes, reporting requirements and proposed configurations.
  • Identify and manage gaps between business requirements and available system functionality.
  • Ensure key project decisions are clearly documented and tracked through to completion.

Data Migration & Testing

  • Coordinate the cleansing, preparation and migration of employee and historical HR data.
  • Establish ownership and validation processes for migrated data.
  • Manage migration testing and reconciliation activities.
  • Develop and oversee a structured User Acceptance Testing (UAT) programme.
  • Coordinate testing activities across HR, Payroll, IT and relevant business stakeholders.
  • Maintain defect logs and ensure issues are resolved prior to go-live.
  • Secure formal sign-off of system functionality, data quality and testing outcomes.

Change Management & Training

  • Develop and execute communication, engagement and change management plans.
  • Support business readiness and user adoption initiatives.
  • Coordinate training programmes and end-user support materials.
  • Drive awareness and engagement to maximise successful adoption of the new HRIS across the organisation.

IT, Data Protection & System Security

  • Partner with IT and specialist teams to address technical requirements and system integrations.
  • Ensure appropriate user roles, permissions and access controls are designed, implemented and tested.
  • Coordinate reviews of GDPR, information security and data protection requirements.
  • Ensure integrations with existing business systems are fully documented, tested and approved.
  • Support the development of appropriate data governance, retention and access controls.

Go-Live & Post-Implementation Support

  • Develop and manage a comprehensive cutover and go-live plan.
  • Define readiness criteria and coordinate final approval processes.
  • Establish contingency arrangements and issue management protocols.
  • Lead post-go-live support and hypercare activities.
  • Manage transition to operational ownership following implementation.
  • Ensure all documentation, responsibilities and outstanding activities are formally handed over to the relevant teams.

Project Deliverables

The successful candidate will be responsible for producing, maintaining and delivering:

  • Comprehensive project plan covering workstreams, milestones, resources and dependencies.
  • Project governance framework including reporting structures, risk registers and issue logs.
  • Documented business requirements and future-state process design.

  • Experience leading cross-functional teams involving HR, Payroll, IT and Finance.
  • Excellent stakeholder management, communication and facilitation skills.
  • Ability to influence senior stakeholders and confidently challenge vendors where necessary.
  • Experience delivering organisational change and driving user adoption.
  • A recognised project management qualification (PMP, PRINCE2, AgilePM or equivalent) is desirable.
