Overview The Program Assistant helps plan, organize, and execute faculty-led programs and customized tours in Portugal and Spain, with occasional support for other global destinations. Working closely with local vendors, including accommodations, tour guides, guest speakers, transportation providers, and university representatives, the Program Assistant ensures all program elements run smoothly. Additionally, this role handles core administrative duties like file keeping and document organization, acts as a travel specialist to help build custom itineraries, supports marketing and outreach initiatives, and assists with leading programs on the ground when needed. Compensation and Travel Benefits Travel Expenses Covered: All food, lodging, and transportation costs are fully covered by MOBT Global when traveling with student groups and during active program operations. Phone Allowance: Monthly stipend or reimbursement allowance provided for business communication. Job Responsibilities Logistics and Operations: Work closely with the Managing Coordinator to ensure all tour and program logistics are fully arranged and executed. Itinerary Building: Build custom trip plans, research new destinations, and recommend creative routes. Vendor and Partner Management: Manage accommodation bookings, arrange transportation, organize meals and activities, and assist in negotiating local partnerships in Spain and Portugal. On-the-Ground Support and Safety: Ensure all travelers and program participants are comfortable, safe, and supported throughout their visits. Travel across Spain and Portugal or work weekends and holidays as needed during program delivery. Data and Administrative Tracking: Maintain traveler databases, retain and file contracts or receipts, and keep administrative documentation organized. Communication and Presentations: Respond promptly to emails and calls, maintain clear communication across all organizational levels, conduct participant orientations, and deliver presentations. Marketing and Special Projects: Support marketing, outreach, and other organization-wide projects as assigned. Industry Awareness: Stay updated on travel conditions, safety advisories, and regional developments affecting tours and programs. Required Qualifications Native or professional fluency in English, as well as working proficiency in Spanish, Portuguese, or both. 2-year college degree (Associate of Arts or equivalent). Experience in customer service, administrative support, or project coordination. Deep familiarity with Spanish and Portuguese cultures. Exceptional attention to detail and strong problem-solving skills. Ability to work independently with minimal supervision, take initiative, and lead in dynamic situations. Demonstrated ability to collaborate effectively with diverse global teams and university clients. Computer proficiency, including Google Workspace (Docs, Sheets, Drive). Access to a reliable personal computer, stable internet connection, and a valid driver's license. Preferred Qualifications Language fluency in French. Professional experience in International Education, Global Engagement, Hospitality, or Teaching. Experience living, studying, or working abroad. Solid understanding of business practices and vendor negotiation in Spain and Portugal.
