Production and Operation Manager
JOB SUMMARY The Production and Operations Manager is responsible for overseeing and managing the overall production and operational activities of the company to ensure that products and services are delivered on time, within budget, according to quality standards, and in compliance with company policies and procedures . The position provides leadership and direction to the production and operations teams, manages resources and manpower, monitors productivity and efficiency, identifies operational issues, and implements continuous improvement initiatives to achieve company targets. II. KEY RESPONSIBILITIES. Production Management Plan, organize, and oversee daily production activities and schedules. Ensure production targets and deadlines are consistently achieved. Monitor production output, productivity, efficiency, and utilization of resources. Ensure that production processes are followed according to approved procedures and standards. Coordinate with Planning, Purchasing, Warehouse, Quality Assurance, and other departments to ensure smooth production flow. Identify production bottlenecks, delays, and operational issues and implement appropriate corrective actions. Monitor the availability and proper use of raw materials, equipment, tools, and other production resources. Ensure proper maintenance and operational readiness of production equipment and facilities. B. Operations Management Oversee the day-to-day operations of the assigned production and operational areas. Establish operational procedures and ensure proper implementation across the team. Monitor operational performance against established targets and KPIs. Improve workflow, manpower utilization, and operational efficiency. Ensure proper coordination between departments to prevent delays and unnecessary costs. Recommend operational improvements to management based on actual performance and business requirements. C. Manpower Management Plan and monitor manpower requirements based on production volume and business needs. Assign tasks and responsibilities to supervisors, team leaders, and production employees. Monitor employee attendance, productivity, discipline, and work performance. Conduct regular performance reviews and provide coaching and feedback to employees. Identify training and development needs of production and operations personnel. Ensure that employees follow company policies, safety regulations, and standard operating procedures. Promote teamwork, accountability, and a positive working environment. D. Quality Management Ensure that production output meets established quality standards and customer requirements. Work closely with the Quality Assurance/Quality Control team to identify and resolve quality issues. Investigate recurring production defects, rework, and customer complaints. Establish corrective and preventive actions to reduce defects and production losses. Ensure proper documentation and monitoring of quality-related issues. E. Cost and Resource Management Monitor production and operational costs and identify opportunities for cost reduction. Control material wastage, rework, overtime, and other unnecessary operational expenses. Ensure efficient utilization of manpower, materials, machinery, and other company resources. Review production expenses and recommend cost-effective solutions to management. Assist in preparing operational budgets and forecasts. F. Inventory and Materials Coordination Coordinate with Purchasing and Warehouse teams regarding material requirements and availability. Monitor material consumption and production usage. Ensure proper handling, storage, and issuance of production materials. Minimize material shortages, excess inventory, damages, and wastage. Ensure accurate production and inventory records. G. Safety and Compliance Ensure that all production and operational activities comply with company policies, safety standards, and applicable laws and regulations. Promote a safe and healthy working environment. Conduct regular inspections of production areas and identify potential hazards. Ensure proper use of personal protective equipment (PPE) and safety equipment. Report and investigate workplace incidents and recommend preventive measures. Ensure that required permits, licenses, and operational documents are properly maintained when applicable. H. Performance Monitoring and Reporting Establish and monitor key performance indicators (KPIs) for production and operations. Prepare regular reports on production output, efficiency, manpower, quality, costs, and operational issues. Analyze operational data and identify trends, risks, and areas for improvement. Present recommendations and action plans to management. Monitor the implementation and effectiveness of corrective and improvement initiatives. I. Continuous Improvement Identify opportunities to improve production processes, workflow, productivity, and quality. Implement process improvement initiatives and operational best practices. Encourage employees to provide suggestions for improving operations. Conduct root-cause analysis for recurring production and operational problems. Support the implementation of automation, technology, and system improvements where appropriate. III. KEY PERFORMANCE INDICATORS (KPIs) The Production and Operations Manager may be evaluated based on: Production target achievement On-time production/delivery rate Production efficiency and productivity Production downtime Material wastage percentage Rework and defect rate Operational cost control Overtime management Manpower productivity Inventory/material accuracy Safety and incident rate Customer complaints related to production Compliance with SOPs and company policies Implementation of process improvement initiatives IV. QUALIFICATIONS Education: Bachelor's degree in Industrial Engineering, Manufacturing Engineering, Operations Management, Business Administration, or a related field. Experience: At least 5 years of relevant experience in production, manufacturing, operations, or a related industry. At least 2–3 years in a supervisory or managerial position . Experience in production planning, manpower management, quality control, cost management, and process improvement is preferred. AUTHORITY AND DECISION-MAKING The Production and Operations Manager is authorized, within approved company policies and limits, to: Assign and reallocate manpower based on operational requirements. Adjust production priorities and schedules when necessary. Recommend overtime and manpower requirements. Stop or escalate production activities when serious quality or safety concerns are identified. Recommend disciplinary action for violations of company policies and procedures. Recommend process, manpower, equipment, and operational improvements. Escalate major operational risks, delays, quality issues, and cost concerns to management. VII. WORKING RELATIONSHIPS Internal: General Management Finance and Accounting Human Resources and Administration Purchasing Warehouse Quality Assurance/Quality Control Sales and Marketing Project/Engineering/Design Teams Maintenance External: Suppliers and contractors Service providers Customers, when required Government and regulatory agencies, when applicable VIII. GENERAL RESPONSIBILITIES Maintain confidentiality of company and employee information. Comply with all company policies, procedures, rules, and regulations. Protect company assets, equipment, materials, and confidential information. Perform other duties and responsibilities that may be reasonably assigned by management. Represent the company professionally in all internal and external dealings.
