Job Summary

Vortexen UAE is looking for an experienced Procurement & Purchaser – Firestopping to manage sourcing and purchasing activities for firestopping, fire protection, civil, mechanical, and industrial materials for projects across the UAE and Saudi Arabia.

The ideal candidate must have hands-on procurement experience with firestopping or fire protection materials and a strong understanding of suppliers, product specifications, pricing, and availability in the UAE market.

Key Responsibilities

• Source and procure firestopping, fire protection, civil, mechanical, and industrial materials .
• Identify and develop reliable UAE and international suppliers, manufacturers, distributors, and OEMs .
• Prepare and issue RFQs based on project requirements.
• Obtain and compare competitive quotations based on price, specifications, availability, lead time, payment terms, and quality.
• Negotiate pricing, discounts, payment terms, delivery schedules, warranties, and commercial conditions .
• Procure firestopping products including:
• Firestop sealants
• Firestop collars and wraps
• Fire-rated boards
• Fire-rated mortars
• Fire barriers
• Penetration sealing systems
• Firestop accessories and related materials
• Verify that purchased materials meet project specifications, approved systems, technical requirements, and applicable standards .
• Coordinate with project, technical, sales, and site teams to understand material requirements, quantities, specifications, and delivery schedules.
• Prepare and process Purchase Orders (POs) accurately.
• Follow up with suppliers from RFQ to order confirmation, dispatch, and final delivery .
• Monitor supplier performance, pricing, quality, availability, and delivery timelines.
• Maintain an updated supplier/vendor database .
• Identify alternative suppliers and products to improve cost, availability, and supply continuity .
• Support OEM and international sourcing when required.
• Conduct market research to identify new firestopping and fire protection suppliers in the UAE.
• Maintain proper records of RFQs, quotations, comparison sheets, POs, invoices, delivery documents, and supplier communications .
• Use MS Excel, procurement platforms, AI tools, and online supplier databases for sourcing and procurement analysis.

Key Performance Indicators (KPIs)

• RFQ response and sourcing turnaround within 24 hours for standard requirements.
• Obtain a minimum of 3 competitive quotations for critical purchases wherever practical.
• Achieve measurable cost savings through sourcing and negotiation .
• Maintain 100% accuracy in purchase orders and procurement documentation.
• Ensure on-time delivery of materials as per project requirements.
• Maintain an accurate and updated supplier/vendor database .
• Develop reliable alternative suppliers and improve supplier response time.
• Maintain complete procurement documentation and traceability.

Mandatory Requirements

• 2+ years of experience in Procurement, Purchasing, or Sourcing.
• Mandatory: Hands-on experience procuring firestopping or fire protection materials.
• Strong knowledge of firestopping products, materials, suppliers, and market pricing .
• UAE procurement experience is highly preferred.
• Experience dealing with UAE suppliers, distributors, manufacturers, and OEMs .
• Strong knowledge of RFQs, quotation comparison, supplier negotiation, and PO management .
• Good understanding of commercial terms, payment conditions, lead times, and delivery coordination .
• Strong vendor management and communication skills.
• Good knowledge of MS Excel and procurement documentation .
• Ability to manage multiple procurement requirements under tight project deadlines.

Education

Diploma or Degree in:

• Civil Engineering
• Mechanical Engineering
• Procurement
• Supply Chain Management
• Or a related field

Relevant firestopping / fire protection procurement experience may be considered alongside educational qualifications.
