Procurement Officer
About the Role We are looking for an experienced and proactive Procurement Officer to join our growing interior fit-out, carpentry, and joinery company. The ideal candidate will have extensive hands-on experience sourcing, negotiating, and purchasing materials, hardware, finishes, and subcontractor services specific to the high-end interior fit-out and custom joinery industry. You will play a critical role in controlling project costs, maintaining strong supplier relationships, ensuring timely material deliveries to the factory and site, and continuously monitoring market pricing to optimize our supply chain. Key Responsibilities Sourcing & Supplier Management: Identify, evaluate, and onboard reliable vendors, material suppliers, and specialized subcontractors for wood, veneers, laminates, hardware, glass, metalwork, paint, polish, and upholstery. Build and maintain a strong database of professional, competitive, and quality suppliers. Negotiate terms, pricing, payment schedules, and lead times to secure the best commercial deals without compromising quality. Purchasing & Operations: Process purchase requisitions, generate accurate Purchase Orders (POs), and ensure seamless procurement workflow from order placement to delivery. Review Bill of Quantities (BOQs), material take-offs, cutting lists, and project specifications alongside the Quantity Surveying and Technical teams. Coordinate factory and job-site deliveries to align strictly with project schedules and production deadlines. Cost Optimization & Market Intelligence: Continuously conduct market research to monitor price fluctuations, track material availability, and identify new, cost-effective product alternatives. Assist the estimation and project teams with real-time material costing and trade discounts. Conduct value engineering in collaboration with project managers and designers to optimize costs while adhering to design intent. Quality Control & Contract Management: Coordinate with quality control (QC) and workshop teams to inspect delivered materials for specification compliance and defect-free delivery. Manage claims, returns, and replacements for damaged or non-conforming goods. Draft, review, and finalize supply agreements and subcontractor contracts. Cost Control & Documentation: Monitor procurement expenditures against approved project budgets and flag potential cost overruns early. Work closely with the Finance/Accounts department to reconcile invoices, delivery notes, and payment milestones. Maintain precise records of POs, contracts, supplier performance evaluations, and warranty documents. Requirements Proven Experience: 3–5+ years as a Procurement Officer / Purchasing Specialist within an interior fit-out, custom carpentry, or joinery company . Technical Product Knowledge: Deep understanding of joinery materials (MDF, plywood, solid wood, veneers, laminates), specialty hardware (Blum, Hafele, etc.), surface finishes, glass, metalwork, and site installation requirements. Commercial & Market Knowledge: Up-to-date knowledge of local market prices, supplier networks, and import/trade regulations. Negotiation Skills: Strong track record of successful price negotiations, contract terms, and supplier cost reductions. Blueprint Reading: Ability to read architectural drawings, shop drawings, specifications, and BOQs to clarify material requirements. Software Skills: High proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, etc.). Experience with ERP systems (e.g., SAP, Oracle, Odoo) or specialized procurement software is a major plus. Soft Skills: Excellent time management, stress management, problem-solving skills, and strong interpersonal communication. Preferred Qualifications Education: Bachelor’s degree or Diploma in Supply Chain Management, Business Administration, Civil Engineering, Quantity Surveying, or a related field. Regional Experience: Experience within the UAE / GCC fit-out, joinery, or construction market. Sector Experience: Previous procurement experience supporting high-end commercial, hospitality (hotels/restaurants), luxury residential (villas), or retail fit-out projects. The ideal candidate will not rely solely on existing supplier lists or static price sheets—they will actively research new market trends, build strong trade relationships, track supplier lead times proactively, and consistently uncover cost-saving opportunities for the company.
