Practice Manager Macarthur Lung & Sleep — Gregory Hills, NSW $40–$60 per hour plus superannuation Permanent full-time, permanent part-time or casual arrangements available About Macarthur Lung & Sleep Macarthur Lung & Sleep is a busy specialist respiratory and sleep medicine centre supporting multiple medical specialists, respiratory diagnostic services, home sleep studies and a five-bed overnight sleep laboratory. Our multidisciplinary team includes specialist physicians, respiratory and sleep scientists, overnight technicians, receptionists and administrative staff. About the Role We are seeking an experienced and hands-on Practice Manager to work directly alongside the Practice Director as the senior non-clinical leader of the practice. Reporting directly to the Practice Director, the successful candidate will take ownership of daily staffing, human resources, payroll, financial administration, patient services, compliance and general practice workflow. This role is intended to substantially reduce the administrative workload currently carried by the Practice Director, and is suited to someone who wants genuine responsibility and the confidence to run the practice day-to-day in the Director's absence. This position requires someone who can identify problems early, make sound operational decisions, follow matters through to completion, and promptly escalate anything significant to the Director. The Practice Manager will work closely with the Practice Director, senior reception staff, laboratory managers, scientists, daytime technicians and overnight sleep technicians. Key ResponsibilitiesStaff Leadership and Human Resources Take responsibility for daily staffing matters, including sick leave, unexpected absences and replacement coverage. Prepare rosters for reception, administration, daytime services, overnight sleep technicians and weekend operations. Coordinate recruitment, onboarding, probation, leave and routine performance management. Support staff communication, wellbeing, accountability and professional conduct. Address workplace concerns and complaints fairly and appropriately. Liaise with Peninsula Bright Health's human resources team, obtain advice when required and implement agreed recommendations. Escalate serious disciplinary or employment matters to the Practice Director promptly. Payroll and Financial Administration Manage payroll for approximately 16 employees, including ordinary hours, overnight shifts, weekends, leave and applicable penalty rates. Maintain accurate timesheets and payroll records, and liaise with the accountant regarding taxation, superannuation and payroll compliance. Review and arrange payment of approved supplier invoices, rent, service contracts and recurring practice expenses. Prepare and coordinate monthly payments to doctors and other contractors. Monitor outstanding accounts, debtors, subscriptions and routine business expenditure. Provide the Practice Director with concise financial and payment summaries. Practice Workflow and Patient Services Coordinate the smooth day-to-day operation of the practice. Oversee reception, referrals, bookings, cancellations, waiting lists, telephone enquiries and patient flow. Ensure doctors' sessions are appropriately prepared and supported. Monitor outstanding correspondence, specialist letters, sleep-study reports and administrative tasks, following up to ensure timely completion. Respond to patient feedback and manage routine complaints professionally. Assist reception hands-on during busy periods, staff shortages and unexpected absences. Sleep and Respiratory Laboratory Coordination Work collaboratively with the Sleep Laboratory Manager, respiratory scientists and senior sleep scientists. Coordinate administrative and staffing support for respiratory testing, home sleep studies and the overnight sleep laboratory. Monitor laboratory capacity, patient bookings and report turnaround times. Compliance and Risk Management Coordinate privacy, WHS, infection-control, accreditation and staff-training requirements. Maintain incident, complaint, risk and mandatory-training records. Investigate the administrative aspects of patient complaints and prepare draft responses for the Director's review. Support the Practice Director with medico-legal documentation and correspondence as required. Escalate significant clinical, legal, employment, privacy or reputational risks to the Practice Director promptly. Business Operations and Development Review practice systems and identify opportunities to improve efficiency, patient service and staff workflow. Support communication and relationship-building with referring GPs and practices. Coordinate website updates, marketing activities and practice communications. Support the recruitment and onboarding of new specialists and staff. Manage agreed operational and business-development projects through to completion. Provide regular operational updates to the Practice Director and contribute to staff meetings. About You The preferred candidate will have: Demonstrated experience in medical practice management, healthcare operations or senior medical administration. Strong leadership skills and the confidence to manage staff and daily operational issues independently. Experience with payroll, rostering, invoices, doctors' payments and financial administration. Knowledge of Medicare billing, employment awards, privacy, WHS and healthcare compliance. Experience managing complaints, incidents and sensitive workplace matters. Excellent written communication, professional judgement and problem-solving skills. Strong computer skills and confidence using practice-management, payroll and general business systems. A practical, hands-on approach and willingness to assist reception when required. A genuine sense of ownership, reliability and accountability. Experience in a specialist, multidisciplinary, respiratory, sleep or diagnostic healthcare setting would be advantageous but is not essential. A relevant qualification in business, practice management or healthcare administration is desirable.
