Personal Assistant to Principal of Secondary School

The Role Provide dedicated, high-quality personal and administrative support to the Principal of the Secondary School, acting as the first point of contact for, and the effective operation of, the Principal’s office. The role reports to the Principal of the Secondary School. 5 day week with annual leave entitlement. Job Responsibilities 1. Operational Support Contribute to the smooth running of the Senior School Office by supporting other colleagues when there is a need for additional capacity during peak times. Attend weekly Secondary School Office team meetings and follow agreed office systems, procedures and service standards. Promote a spirit of teamwork with secretarial and departmental assistants and colleagues throughout the School. Maintain an ongoing dialogue with colleagues to ensure the efficient handling of enquiries. Provide cross-functional support across other areas of the School as and when required. 2. Managing diary, meetings and events Plan appointments and schedules, maintaining an accurate and up-to-date diary for the Principal of the Secondary School and protecting time for the Head's priorities. Act as the single point of entry to the Principal’s diary. Prepare the agenda for Secondary School Leadership Team (SSLT) meetings chaired by the Head, record minutes and track actions through to completion. Plan and organise preparations for the Principal’s meetings, conferences, parent and staff events, both inside and outside school. Arrange overseas travel, itineraries and agendas for the Principal of the Secondary School. Prepare briefing notes, papers and electronic presentations, using for example PowerPoint, for the Principal. Attend and minute meetings chaired by the Principal as required. 3. Communication Management Prepare the weekly Senior School Briefing slide presentation in liaison with the Principal and SSLT. Screen and manage communication flows directed at the Principal of the Secondary School, prioritising, redirecting and following up as appropriate. Lead information and communications support for the Principal of Secondary, liaising with Communications and systems colleagues on the Head's messages, publications and profile. Draft, prepare and respond to correspondence on behalf of the Head. Handle enquiries to the Head's office confidently and discreetly from students, parents and staff, taking telephone messages and passing on the relevant message. Maintain confidentiality and exercise discretion in all matters relating to the Head's office. 4. Stakeholder and External Liaison Liaise and communicate with stakeholders in the community on behalf of the Head, developing positive relationships and undertaking this with a high standard of customer focus. Communicate with organisations and agencies on behalf of the Principal of the Secondary School. Develop and manage the personal and administrative support of the Principal of the Secondary School, liaising with Faculties, the Directorate and other school offices. Liaise with Faculty and support staff throughout the School on behalf of the Principal of the Secondary School. Communicate confidently with teaching and support staff throughout the School. 5. Student and School Administration Devise and plan tracking and follow-up for student and staff reference requests. Collate and compile student references. Track reports for student leavers or transfers to other school. Implement school systems and procedures in the work of the Head's office. Maintain accurate, confidential records and files for the Principal of Secondary School. Prepare and collate documentation for student, parent and staff matters that come to the Head, and follow up actions arising. 6. Finance and Procurement Prepare and submit financial requests, E-Requisitions and purchase documentation arising from the Principal’s office, for approval by the Principal in line with Procurement requirements. Compile and submit the Principal’s expenses, including travel. 7. Recruitment, HR Support and Contract Renewal Support the Principal of Secondary and SSLT with the recruitment process for the Secondary School, ensuring a smooth and professional candidate experience. This includes coordinating interviews, candidate liaison, interview panel logistics and candidate visit programmes. Act as the primary administrative liaison between the Secondary School and HR, ensuring that HR processes, information and communications are coordinated effectively. Support the Principal of Secondary with the administration of staff review and development processes, including Clear Review, Threshold Conversations and Contract Renewal. Provide administrative support to the Principal of Secondary and/or Head on confidential HR matters, as directed. Maintain appropriate confidentiality when handling sensitive employee and HR information. Coordinate with HR on matters requiring specialist HR advice or intervention and ensure that agreed actions are followed through. 8. General Responsibilities To perform tasks assigned by the line manager as and when required. Demonstrate a positive attitude to the students and their needs. Support work in other areas of the School or in other job-related tasks as circumstances require. Have a commitment to punctual timekeeping and good attendance. Display a positive attitude to colleagues, parents and children. Maintain a standard of personal presentation befitting the role. Maintain and build positive relationships with all staff in Tanglin. On an annual basis complete the Review and Development exercise – seeking feedback from most relevant colleagues – and undertake identified development opportunities. Maintain an accurate and up-to-date record of all Professional Development opportunities. Be responsible for reporting any concerns about a child to the Designated Safeguarding Lead. Requirements Diploma/Degree holder with proven experience as a Personal Assistant Excellent organisational and time management skills, with the ability to manage multiple priorities and deadlines Possess strong verbal and written communication skills with a professional and service-oriented approach Proficient in digital technology (Microsoft Office: Sharepoint, Word, Excel, Outlook, PowerPoint, OneNote, Teams) Confident, mature and self-motivated Strong attention to detail and problem-solving skills. Possess high degree of discretion, diplomacy and tact in discharging duties Flexible, adaptable, and calm under pressure Good attitude and aptitude Ability to work well with all levels of people Able to work independently as well as a good team player with good initiative and leadership skills Personal Attributes Be able to engage, enthuse and inspire others.
