The role requires an individual with strong business acumen, exceptional communication skills, high attention to detail and the ability to manage multiple priorities with complete confidentiality . The incumbent will act as a critical interface between the Director, senior leadership team, internal functions, external stakeholders and key business associates. The ideal candidate should be comfortable operating in a fast-paced, entrepreneurial and high-accountability business environment , with the maturity to independently follow through on critical matters and ensure timely closure of commitments. Key Responsibilities 1. Executive & Calendar Management - Manage the Director's calendar, appointments, meetings and daily schedule. - Prioritise meetings and engagements based on business criticality. - Coordinate internal and external meetings, conference calls and business appointments. - Ensure the Director is adequately briefed with relevant information before key meetings. - Manage meeting schedules, travel time, buffers and last-minute changes efficiently. - Maintain a structured daily/weekly agenda and follow-up tracker. 2. Business Coordination & Follow-Ups - Act as the central coordination point for matters requiring the Director's attention. - Track critical action items emerging from meetings and ensure timely follow-up with respective stakeholders. - Maintain an Action Taken Report (ATR) / Management Follow-Up Tracker. - Coordinate with functional heads and senior managers to obtain updates, reports and required information. - Escalate delays, dependencies and critical issues to the Director proactively. - Ensure commitments made by the Director or management are appropriately tracked through closure. 3. MIS, Reports & Management Information - Coordinate preparation and consolidation of management reports, MIS and business updates. - Collect relevant data from various departments and present information in a structured manner. - Maintain dashboards, trackers and management review documents. - Prepare meeting briefs, agenda notes, presentations and summary documents as required. - Support the Director in reviewing business performance, operational updates and strategic initiatives. 4. Meeting Management - Schedule and coordinate management meetings, reviews and business discussions. - Prepare meeting agendas and circulate required information in advance. - Record key decisions, action points, owners and timelines. - Maintain Minutes of Meeting (MoM) and follow up for closure. - Ensure pending decisions and action items are brought back to the Director's attention. 5. Communication & Correspondence - Draft and manage professional emails, letters, communications and official correspondence on behalf of the Director. - Coordinate communication between the Director and internal/external stakeholders. - Maintain a professional standard of written and verbal communication. - Handle sensitive communications with discretion and maturity. - Ensure important communications are appropriately prioritised and responded to within timelines. 6. Travel & Logistics Management - Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation and itineraries. - Prepare detailed travel schedules and itineraries for the Director. - Coordinate business meetings during travel. - Maintain travel documentation and ensure all logistical requirements are addressed. - Manage last-minute changes and contingencies effectively. 7. Confidentiality & Information Management - Handle highly confidential business, financial, strategic and personal information. - Maintain strict confidentiality regarding management discussions, business plans, commercial matters and organisational decisions. - Ensure appropriate documentation and secure handling of sensitive information. - Exercise sound judgement regarding information sharing and stakeholder access. 8. Stakeholder Management - Liaise professionally with senior management, customers, vendors, consultants, business partners and other external stakeholders. - Coordinate with key internal functions including Finance, HR, Sales, Marketing, Operations, Supply Chain, Quality, E-Commerce and Administration . - Build effective working relationships across functions to ensure smooth execution of the Director's priorities. 9. Personal Assistance & Administrative Support - Provide personal assistance to the Director wherever required for effective management of professional commitments. - Coordinate personal appointments, schedules and other priority requirements, maintaining complete discretion. - Manage documentation, records and important files. - Support the Director in managing day-to-day administrative requirements. 10. Special Projects & Management Initiatives - Support the Director on special projects, strategic initiatives and management assignments. - Conduct preliminary research, data gathering and information collation as required. - Coordinate cross-functional projects and track milestones. - Take ownership of specific assignments and independently drive them to completion. - Support business reviews, strategic planning exercises, board-level meetings and management presentations. Key Deliverables / KPIs The incumbent will be expected to ensure: - 100% calendar and meeting discipline - Timely closure of Director-level action items - Accurate and timely MIS / management reports - Effective MoM and ATR management - Zero leakage of confidential information - Timely coordination of travel and business engagements - Faster cross-functional follow-up and execution - High accuracy in documentation and correspondence - Effective prioritisation of urgent and critical matters - Professional and seamless functioning of the Director's office Candidate Profile Educational Qualification - Graduate degree in Business Administration, Commerce, Management, Communications or a related discipline . - MBA / PGDM will be an added advantage. Experience - Minimum 3+ years of experience as an Executive Assistant, Personal Assistant, Management Assistant, Executive Secretary or similar role. - Experience supporting a Director, CXO, Promoter, Business Head or Senior Management Executive will be preferred. - Candidates from FMCG, Manufacturing, Consumer Goods, Retail or other fast-paced business environments would be advantageous. The role requires someone who can anticipate requirements, identify gaps before they become issues, maintain exceptional execution discipline and operate with a high level of ownership and confidentiality.
