People and Business Operations Manager

We’re a team of approximately 140 people across the US and UK, and our work directly supports patients and the clinicians who care for them. We’re looking for a highly capable, hands-on generalist who can help keep the business running smoothly behind the scenes. This is a broad role spanning business operations, finance administration, people operations, payroll and benefits, executive support, and the many day-to-day needs that come with operating a growing company. About the Role We are ideally looking for someone based in Boston but are open to people anywhere on the East Coast due to timezones and the ability to interact with the UK team. This is a role for someone who likes wearing multiple hats, taking ownership, and being the person others can rely on to get things done. You’ll work closely with the HR & Finance team and senior leadership across a wide range of responsibilities. On any given day, you might be processing payroll, helping with a benefits renewal, following up on an outstanding customer payment, updating our cash position, coordinating an executive meeting, assisting with an employee matter, working with an outside provider, or solving an operational issue that simply needs an owner. Payroll and people operations will be important recurring responsibilities, but this is not purely an HR or payroll role. We’re looking for a strong business generalist who is comfortable moving between finance, operations, administration, and people matters and who does not get hung up on whether something technically falls within their job description. This role is a strong fit for someone who has been the go-to operations person at a smaller or growing company before, knows how to operate independently, has good judgment, and enjoys making an organization work better. You’ll report into the Finance team and work closely with leadership across the company. What You’ll Do Business and Executive Operations Provide day-to-day operational and administrative support to senior leadership. Help coordinate meetings, travel, expenses, materials, scheduling, and follow-up items as needed. Keep important administrative and operational priorities moving and make sure commitments do not fall through the cracks. Jump into special projects and business needs that may not have an obvious functional owner. Help improve processes and create better structure as the company grows. This is not a traditional executive assistant role, but we are looking for someone who is comfortable supporting executives and willing to step in wherever they can make the leadership team and business more effective. Payroll Own US payroll processing from start to finish through our payroll platform for a multi-state US workforce. Manage compensation changes, deductions, bonuses, new hires, terminations, and other payroll updates. Coordinate US payroll taxes, state registrations, filings, and year-end reporting with our payroll provider and outside advisors. Review payroll for accuracy before processing and resolve employee payroll questions quickly. Maintain clean and accurate payroll records. Payroll will be an important recurring responsibility, and we need someone who is comfortable owning the process directly rather than simply managing a provider. People Operations Own employee onboarding and offboarding from an administrative and operational perspective. Maintain employee records, policies, handbooks, and other HR documentation. Serve as a first point of contact for routine employee questions. Support managers with day-to-day people administration. Coordinate with outside HR advisors and employment counsel when matters require specialized expertise. Help ensure we remain compliant across the states in which we employ people. Benefits Administration Serve as a primary point of contact for employees, brokers, and benefit providers. Manage health insurance, 401(k), and other benefit enrollments and employee changes. Coordinate annual benefits renewals and open enrollment. Work with brokers and leadership to evaluate benefit options and costs. Help employees navigate benefits questions and resolve issues with providers. Cash and Banking Support (back up support) Help maintain clear daily and weekly visibility into company cash. Monitor bank activity and assist with routine cash reporting. Track customer receipts and other cash movements. Assist with bank reconciliations and treasury administration. Support routine banking activities and payments within established approval and control processes. Help Finance maintain accurate short-term cash information for decision-making. Vendor, Insurance, and Compliance Administration Manage relationships with key back-office providers including payroll, benefits, insurance, tax, banking, and other administrative vendors. Keep recurring renewals, registrations, filings, and compliance requirements organized and on schedule. Coordinate with outside providers on payroll tax, sales tax, insurance, and other business compliance matters. Track provider performance and become the escalation point when something is not working properly. Help evaluate vendors and systems as the company grows. General Back-Office Operations Keep company records organized, complete, and audit-ready. Build simple processes and checklists so important recurring activities happen consistently. Identify administrative inefficiencies and help improve them. Be willing to take ownership of operational odds and ends that inevitably arise in a growing company. What You Bring 5+ years of experience in a broad operations, finance administration, people operations, executive support, office management, payroll, bookkeeping, or similar role. Experience working in a smaller or growing company where responsibilities crossed traditional functional lines and you were expected to wear multiple hats. Hands-on payroll experience through payroll platforms such as Bamboo, Rippling, Gusto, ADP, Paylocity, or similar. Experience administering employee benefits and working with brokers and benefit providers. Working knowledge of HR administration including onboarding, employee records, policies, and basic US employment practices. Comfort with accounting and finance basics including invoices, accounts receivable, accounts payable, cash balances, expenses, and reconciliations. Strong Excel or Google Sheets skills and the ability to organize and summarize basic financial and operational information. Comfort working within accounting, payroll, banking, expense, and other business systems. Exceptional organization and follow-through. You keep track of details, deadlines, and open items without needing someone else to remind you. Strong judgment. You know which problems you can solve yourself, which need escalation, and when an outside expert needs to be involved. A strong service mindset and clear, warm communication style. The confidence to communicate with employees, executives, customers, vendors, banks, brokers, accountants, and other outside partners. Discretion and sound judgment when handling confidential employee, payroll, banking, and financial information. A willingness to jump in and solve problems even when they do not fit neatly within a job description. Nice to Have Experience in healthcare, health technology, medical device, life sciences, or another regulated industry. Experience supporting a multi-state US workforce. Generalist HR experience across multiple States Experience supporting a company with employees in both the US and UK. Experience with Bamboo, Rippling, Ramp, Xero, QuickBooks, NetSuite, or similar systems. Experience supporting a CFO, CEO, or other senior executives. Exposure to benefits renewals, insurance renewals, audits, or accounting system implementations. Experience working in a venture-backed, private equity-backed, or high-growth company.
