We are seeking a highly organized, proactive, and detail-oriented Part-Time Program Manager to support program operations, events, communications, and stakeholder coordination. This is an in-person, non-benefits eligible role ideal for someone who enjoys managing multiple workstreams, working with faculty and industry experts, and bringing structure and execution excellence to a dynamic program. What You’ll Do Physical Science Program Management Tasks Coordinate and oversee HIT award-related meetings Manage scheduling, polling, and logistics Attend meetings, capture key takeaways, and track follow-ups Distribute notes and maintain documentation (e.g., Airtable) Execute follow-ups (introductions, contact research, coordination) Project Selection, Pitch Week & Cohort In-Person Engagement Support planning and logistics for pitch week Coordinate scheduling, catering, and materials Collect and distribute pitch decks Provide on-site operational support Marketing & Communications Update and manage program website content Drive content development (Stanford Report articles, annual report contributions, etc.) Build and grow HIT’s social media presence Establish and execute a consistent content posting cadence Events, Seminars & Office Hours Plan and execute seminars, events, and office hours end-to-end Prepare event briefs and timelines Reserve rooms and coordinate catering Develop promotional materials (emails, banners, registration forms, signage) Manage registration and attendee communications Support speakers/experts and coordinate materials Oversee A/V setup, testing, and day-of execution Lead on-site event management Handle post-event follow-up (thank-you notes, surveys, reporting) What We’re Looking For Strong organizational and project management skills Excellent written and verbal communication skills Ability to manage multiple priorities with attention to detail Experience with event planning and execution Comfort working with senior stakeholders, faculty, and external partners Proactive, resourceful, and solutions-oriented mindset Familiarity with tools like Airtable, event platforms, or CMS tools is a plus Why This Role Opportunity to work at the intersection of innovation, research, and real-world impact High visibility across faculty, startups, and industry experts Ownership over events, communications, and program operations Flexible part-time structure with meaningful, hands-on work About the HIT Fund The High Impact Technology (HIT) Fund supports Stanford researchers in translating breakthrough innovations into commercially viable technologies with societal impact.
