This is a varied role suited to someone who enjoys working in a fast-paced office environment and is keen to develop their knowledge across different areas of the business. Previous experience within office administration, customer service or the electronic security industry would be advantageous; however, it is not essential. We are equally interested in candidates who demonstrate the right attitude, a willingness to learn and the ambition to develop within the role. The successful candidate will have a professional telephone manner, strong communication and organisational skills, good attention to detail and the ability to manage a varied workload while supporting colleagues across multiple departments. The Role The Office Administrator will provide day-to-day administrative support across the business, with particular involvement in the Service and Sales departments . As your knowledge and experience develop, the role will expand into a multi-disciplined position, providing support across several key areas of the company. This will offer the successful candidate the opportunity to gain a broad understanding of our operations and develop valuable experience within the electronic security industry. Key Responsibilities Duties will include, but are not limited to: Providing general office and administrative support to the wider business. Answering incoming telephone calls in a professional and helpful manner. Handling general customer enquiries and directing calls to the appropriate department or member of staff. Supporting the Service Department with the logging and administration of service calls. Creating and updating customer records and ensuring information is accurately recorded within company systems. Liaising with customers regarding service requirements, appointments and general enquiries. Supporting the Sales Department with new and existing customer enquiries. Assisting with the preparation and generation of customer contracts and associated documentation. Preparing and completing as-fitted system specifications and other customer documentation. Assisting with the preparation, formatting and maintenance of company procedures, processes and internal documentation. Maintaining accurate electronic and paper-based records where required. Supporting colleagues and departments during busy periods, holidays and staff absence. Assisting with general data entry, document preparation, filing and other administrative duties as required. Communicating with customers, suppliers, engineers and other external organisations in a professional manner. Development Within the Role As the successful candidate gains experience and industry knowledge, additional responsibilities may include: Preparing and distributing daily morning alarm status reports. Reviewing system information and identifying outstanding or abnormal alarm statuses requiring further attention. Liaising with customers regarding alarm system administration where required. Contacting Police Authorities and other relevant organisations in connection with monitored security systems. Assisting with the administration of Police Unique Reference Numbers (URNs) and associated documentation. Supporting the administration of maintenance contracts and customer records. Providing additional administrative support across Service, Sales, Projects and other operational areas of the business. Developing a wider understanding of electronic security systems, industry terminology and company procedures. About You The ideal candidate will be: Professional, reliable and well organised. Confident communicating with customers and colleagues by telephone and email. Comfortable working within a busy office environment. Able to prioritise tasks and manage multiple responsibilities. Accurate and attentive to detail. Confident using computers and general office software. A good team player who is also capable of working independently. Willing to learn new systems, processes and industry terminology. Positive, proactive and willing to take ownership of tasks. Ambitious and interested in developing into a broader role within the business. Experience within the electronic security, fire, engineering or service industry would be beneficial but is not essential , as training will be provided for the right candidate.
