Operations Manager - Respect Care Services Job Title Operations Manager Reports To Director (works alongside the Registered Manager) Direct Reports Care Coordinator(s), Senior Carers Location Willesden Green, London About the Role We are looking for an Operations Manager to take real ownership of how Respect Care Services runs and grows. Sitting just below the Director and working side by side with our Registered Manager, you will be the person who keeps the business well run, compliant and commercially healthy - while the Registered Manager stays responsible for regulatory and care oversight. This is a role about driving the business forward, not administering the day-to-day rota. Honestly, we care more about energy, drive and a genuine sense of ownership than a perfect CV. Business Performance and Strategy - Own our operational KPIs - utilisation, margin per care hour, staff retention, client retention, and capacity vs. demand - Spot and act on growth opportunities - new contracts, geographic expansion and private-pay client growth - Report monthly to the Directors on how the business is performing, with clear commentary and the actions you are taking - Lead workforce capacity planning, making sure staffing levels keep pace with contracted hours and our growth pipeline 2. Compliance, Risk and Regulatory Oversight (Business Level) - Own the agency's overall compliance framework - policies, audits and CQC readiness - working closely with the Registered Manager on the regulatory detail - Make sure our safeguarding, incident and complaints processes work at a systemic level - you won't handle every case yourself, but you will make sure the process is sound and support the head of safeguarding - Lead our approach to CQC inspection preparation - evidence packs and mock inspections - Keep us compliant with HR and employment law across disciplinary, grievance and termination processes, working with HR and legal support where needed 3. People and Organisational Management - Oversee our recruitment strategy and workforce planning, including any sponsored-worker and visa compliance considerations - Build a strong performance culture - supervision compliance, appraisal completion and training completion rates 4. Client and Contract Management - Develop and own relationships with local authority and NHS commissioners and key referral partners - Work alongside the directors on contract negotiations, tender responses and framework applications - Keep an eye on service quality across the whole portfolio - complaints trends, satisfaction and missed-visit rates - and drive corrective action - Represent the company in external meetings as needed - commissioners, CQC and partner agencies 5. Systems, Process and Continuous Improvement - Own the selection and improvement of our core systems - rostering, care planning, eMAR and finance interfaces - Lead process improvement projects, such as reducing missed visits, speeding up onboarding and digitising compliance evidence - Make sure we have solid business continuity plans in place for staff shortages, severe weather and IT outages 6. Governance and Director Support - Contribute to senior leadership discussions and decisions - Act as deputy for the Director on operational matters when required Person Specification What we are really looking for (essential) - Dynamic, driven and genuinely self-starting - you take ownership and run with it - A real bias for action - you spot problems and fix them rather than wait to be asked - Commercially minded and comfortable owning a P&L or an operational budget - Resilient and calm under pressure, and energised rather than daunted by growth and change - Strong with people and stakeholders - able to hold your own with commissioners, regulators and senior leaders - Experience managing managers or coordinators, not only front-line staff - Comfortable with ambiguity and the quick decision-making a growing business needs Nice to have (desirable - but drive matters more) - Operations or general management experience, ideally in domiciliary care, healthcare or another regulated people-services sector - Working knowledge of the CQC Fundamental Standards and the regulatory environment - though this role is business-led, not care-led - A Level 5 Diploma in Leadership for Health and Social Care, or a willingness to work towards it - A full UK driving licence and access to a car Role Specifics - The role is 9am - 5pm, Monday to Friday - Based in our Willesden Green office in London - Full-time and permanent, subject to a probationary period What We Offer - Competitive salary, dependent on experience - Pension scheme - Funded vocational training and development - The chance to genuinely shape and grow a business, not just keep it ticking over Important Information - An Enhanced DBS check (formerly CRB) is required before you start in the role - We are an equal opportunities employer and welcome applications from people of all backgrounds - All staff are expected to respect the confidentiality of everything they learn in the course of their employment, and to meet the requirements of the Data Protection Act 2018 and UK GDPR - All staff must understand their responsibilities under the Health and Safety at Work etc. Act 1974 - All staff are expected to read and follow the relevant codes of practice and standards for the sector, including those of the Homecare Association.
