This position works closely with Operations, Maintenance, Project Management, and company leadership to make sure our people and equipment are ready for upcoming projects and that field operations run efficiently. The ideal candidate is organized, dependable, comfortable managing multiple priorities, communicates well with both field and office personnel, and is willing to learn railroad operations, safety requirements, and RailPod equipment and processes. Key Responsibilities Field Operations & Scheduling Supervise and schedule field operators for upcoming projects Coordinate operator assignments based on project requirements, qualifications, availability, and location Maintain and update the operational schedule Resolve scheduling conflicts and staffing issues Coordinate deployment of RailPod inspection equipment and support vehicles Work with Project Management and customers to coordinate project schedules and requirements Monitor operator workload, availability, and upcoming assignments Support the growth and development of the field operations team Fleet & Equipment Coordination Work with the Maintenance Department to ensure trucks and inspection pods are maintained and ready for upcoming projects Coordinate reporting of maintenance issues and equipment concerns from field operators Track maintenance issues through completion and communicate equipment status Coordinate equipment availability around maintenance, inspections, repairs, and upcoming projects Physically conduct manual inspections of equipment, including accessing areas underneath equipment when required Validate equipment condition and compliance using established equipment checklists Maintain records of equipment issues and operational needs Compliance & Training Work with the CEO to help ensure company compliance Maintain compliance and training records Track employee qualifications, certifications, and expirations Coordinate customer specific training and compliance requirements Coordinate drug testing requirements and maintain related records Make sure operators have the required training and qualifications for their assigned projects Help implement new training and compliance processes as needed Work Orders, Documentation & Process Improvement Gather and organize project information from customers and internal teams Create and maintain accurate work orders Ensure work order information is communicated to appropriate team members Maintain operational records and project documentation Update existing documentation and develop new documentation when needed Create and implement processes that improve efficiency, equipment availability, and overall operational readiness Identify opportunities to improve scheduling, communication, equipment availability, and day to day operations Assist with automation and other process improvements Customer & Internal Communication Communicate directly with customers regarding schedules, requirements, and operational needs Serve as a point of contact between field operators, Project Management, Maintenance, and leadership Keep the team informed of schedule changes, equipment issues, and project requirements Communicate clearly and professionally with both customers and internal teams Qualifications Experience in scheduling, logistics, dispatch, field operations, transportation, or office administration preferred Strong organizational and time management skills Proficiency with Microsoft Office and Excel Familiarity with Google Workspace and scheduling/project management tools such as Smartsheet, Jira, or Asana preferred Strong written and verbal communication skills Strong attention to detail Ability to manage multiple priorities in a fast paced environment Ability to work independently and solve operational problems Physically capable of conducting manual equipment inspections, including crawling or working underneath equipment when required Comfortable working around vehicles, inspection equipment, and other mechanical equipment Willingness to learn railroad terminology, safety requirements, RailPod equipment, and company processes Must be authorized to work full time in the United States without current or future sponsorship What We're Looking For This is a hands on management and coordination role. The Operations Manager will work directly with operators, customers, Maintenance, Project Management, and company leadership to keep people and equipment ready for work. We are looking for someone who takes ownership, communicates well, can work independently, and is willing to get involved when something needs to be done. Railroad experience is not required. The right person should be a quick learner who can identify problems, improve processes, and follow through on solutions.
