The right person will be someone we can give a task or objective to and trust that it will be owned, progressed and completed without constant supervision . Your responsibilities will include: Coordinating jobs, diaries and schedules Liaising with clients, operatives and subcontractors Monitoring outstanding actions and ensuring deadlines aren't missed Preparing and issuing quotations Ordering and coordinating materials Managing project and compliance documentation Maintaining accurate job records and filing systems Supporting FIRAS and other compliance administration Assisting with invoicing Coordinating recruitment and subcontractor onboarding Maintaining spreadsheets, trackers and management information Helping the Directors organise priorities and follow up outstanding actions Identifying gaps in processes and helping us improve the way the business operates Using AI tools such as ChatGPT to improve productivity, research information, draft documents and streamline everyday administrative tasks Taking ownership of ad-hoc projects and seeing them through from initial instruction to completion You won't be expected to know everything on day one. Experience within construction or passive fire protection would be useful, but it isn't essential . We're much more interested in finding someone with the right attitude, organisational ability and ownership mentality. Tech confident – you're comfortable learning new software and finding better ways of doing things. AI familiar – you already use tools such as ChatGPT or similar and understand how they can help you work faster and more effectively. Independent – you're comfortable being given an objective and figuring out the steps required to achieve it. Most importantly, we're looking for someone who takes genuine ownership of their work. Our Directors are managing a growing business and regularly have multiple priorities competing for their attention. We need someone who can help bring those moving parts together, keep things organised and make sure important actions don't disappear down the cracks.
