About us Dona's mission is to support places of worship and charities with fundraising through technology. https://donadonations.com We partner with over 2,500 charitable organisations across the UK to install contactless card terminals and donation webpages to collect donations. We're a small technology company, which means everyone has the opportunity to make a meaningful impact. This role is about taking ownership of the day-to-day running of the business, so the whole team can focus on serving charities. There's real breadth and autonomy here, and plenty of opportunity to grow and develop your skills. About the role This is a broad, hands-on Operations Manager role covering finance, suppliers and stock, HR administration, compliance and general business operations. You'll work closely with our Managing Director and across the whole Dona team. We're looking for someone who is comfortable taking ownership, making sensible decisions within agreed boundaries, and keeping things moving without needing close supervision. It's a varied role. One day you might be reviewing cash flow and making supplier payments; another you could be preparing for an ISO audit, resolving a stock issue, or coordinating the operational side of a new product launch. You'll have access to sensitive financial and employee information, so discretion and sound judgement are essential. What you'll be doing Managing day-to-day finance: bank reconciliation, payments, payroll, and cash flow monitoring Maintaining financial forecasts and producing regular operational and financial reporting Owning stock and supplier management, including purchase orders, stock reconciliation, quality checks on new components, and supplier relationships Coordinating with our fulfilment partners to make sure products reach customers reliably Handling HR administration: onboarding, offboarding, holiday and sickness records, and recruitment coordination Maintaining our policy library, contracts, and legal backlog, working alongside our external legal adviser Supporting the ongoing administration of our ISO 9001 and 27001 management systems, including evidence, access reviews, training records, and audit preparation Maintaining our Business Continuity Plan, coordinating continuity exercises, and acting as Incident Lead if something goes wrong during business hours Supporting our Data Protection Officer with the administration of data protection records, retention schedules, and compliance documentation Managing internal software, licences, staff access, and general office administration Coordinating cross-team projects when we launch something new, making sure Product, Sales, and Support are aligned Identifying and implementing improvements to the way we work This is a hands-on role: you'll be responsible for getting these things done, rather than simply coordinating other people to do them. Skills and experience we're looking for in a candidate Broad experience in an operational or office management role covering finance, HR, and supplier administration Hands-on experience with financial administration, including bank reconciliation, payments and bookkeeping Genuinely confident with spreadsheets; you'll maintain financial forecasts and produce regular reporting Comfortable using AI tools such as Claude or ChatGPT in a work context, for example drafting documents, summarising information, or streamlining administrative tasks. Experience working within a documented compliance or quality management system is essential; direct experience with ISO 9001 or 27001 specifically is a strong plus An excellent communicator with strong written and verbal English; you'll work across every team in the business Highly organised and comfortable managing competing priorities without close supervision Confident using your judgement to make day-to-day operational decisions and knowing when something needs to be escalated Able to document processes clearly and turn informal ways of working into practical, repeatable procedures Trustworthy with sensitive information; this role has access to salary data, bank accounts, and staff records Significant hands-on experience in a similar generalist operations role, typically 4 or more years Values we're looking for in a candidate Being open and transparent. Dona operates a Bring Your Own Device (BYOD) policy, and your device will need to meet our security requirements. Be available to work 9am to 5:30pm Monday to Friday (37.5 hours per week) Be in the Hove office 3 days a week and work from home 2 days a week, with occasional off-site travel as needed.
