Operations Manager
Duties and Responsibilities: Operations Leadership & Management Develop, implement, and monitor operational procedures and workflows to ensure efficient and consistent service delivery. Lead, supervise, coach, and monitor the performance of the Operations Team and other personnel under the Operations function. Plan and allocate manpower, resources, equipment, and operational activities based on shipment requirements and business priorities. Conduct regular operations meetings, performance reviews, and operational briefings. Ensure proper coordination and accountability among team members for assigned shipments and operational tasks. Monitor overall operational performance and immediately address delays, bottlenecks, errors, and service issues. Shipment & Logistics Operations Oversee the end-to-end processing of import, export, domestic, and other logistics transactions handled by the Company. Monitor shipment activities from booking, documentation, customs processing, cargo release, transportation, up to final delivery. Coordinate with shipping lines, airlines, trucking providers, warehouses, ports, terminals, customs brokers, and other logistics partners. Ensure shipment requirements, schedules, and customer instructions are properly endorsed to the concerned personnel. Monitor shipment milestones and ensure timely completion of operational activities. Identify potential delays and operational risks and implement appropriate corrective actions. Ensure proper documentation and monitoring of shipment status and delivery activities. Customs Brokerage & Documentation Coordination Coordinate with the Customs Brokerage and Documentation Teams to ensure timely and accurate processing of customs and shipment requirements. Monitor customs clearance status and follow up pending requirements, examinations, releases, and other related activities. Ensure complete and accurate documentation prior to shipment processing, cargo release, and delivery. Coordinate with Licensed Customs Brokers regarding customs-related operational concerns. Ensure compliance with Bureau of Customs requirements and other applicable government regulations. Escalate customs, documentation, and compliance concerns requiring Management intervention. Customer Service & Client Coordination Ensure timely and accurate communication of shipment status and operational updates to customers. Coordinate with Customer Service Relations Staff in handling customer inquiries, complaints, and service concerns. Ensure customer requirements and special instructions are properly communicated and executed. Monitor the resolution of customer complaints and operational concerns. Maintain a customer-focused approach while balancing service quality, operational capability, and cost efficiency. Recommend improvements to enhance customer satisfaction and retention. Warehouse, Trucking & Service Provider Coordination Oversee coordination with Warehouse and Inventory personnel regarding cargo receiving, storage, handling, release, and dispatch. Monitor trucking and transportation arrangements to ensure timely pickup and delivery of cargo. Coordinate with trucking providers regarding vehicle availability, delivery schedules, operational requirements, and service concerns. Monitor the performance of external service providers and logistics partners. Evaluate service provider performance based on reliability, responsiveness, cost, and quality of service. Report recurring service provider issues and recommend appropriate corrective action to Management. Operational Cost & Risk Management Monitor operational expenses and ensure proper utilization of Company resources. Identify opportunities to minimize unnecessary costs, penalties, storage charges, demurrage, detention, and other avoidable operational expenses. Review operational requests and arrangements within authorized limits. Coordinate with Finance and Accounting regarding operational charges, billing concerns, and cost discrepancies. Identify operational risks and implement appropriate preventive and corrective measures. Ensure proper documentation and approval of operational expenses and exceptions. Compliance & Risk Management Ensure all operational activities comply with Company policies, procedures, customs regulations, and other applicable government requirements. Monitor compliance with established Standard Operating Procedures (SOPs) and customer-specific requirements. Ensure proper handling and confidentiality of customer, shipment, pricing, and Company information. Report operational irregularities, incidents, compliance concerns, and potential risks to Management. Support internal and external audits and provide required operational records and documentation. Process Improvement & Quality Management Review existing operational processes and identify areas for improvement. Develop and implement measures to reduce errors, delays, customer complaints, and unnecessary costs. Establish appropriate trackers, checklists, monitoring tools, and control procedures. Standardize operational processes to improve efficiency and accountability. Monitor the effectiveness of implemented improvements and recommend further actions when necessary. Promote continuous improvement and operational excellence within the department. Planning, Reporting & Performance Management Prepare annual operational plans, manpower requirements, resource requirements, and operational improvement initiatives aligned with Company objectives. Monitor and report operational KPIs, shipment performance, delivery performance, turnaround time, customer complaints, and service provider performance. Submit regular operational reports, shipment monitoring reports, incident reports, and other reports required by Management. Analyze operational data and identify trends, recurring issues, and opportunities for improvement. Evaluate Operations Team performance and recommend coaching, training, recognition, and performance improvement plans. Ensure timely and accurate submission of operational reports and monitoring records. Coordination & Representation Serve as the primary liaison between Management and the Operations Team. Coordinate with Sales, Customer Service Relations, Customs Brokerage, Documentation, Finance, Accounting, Warehouse, and other concerned departments to ensure seamless service delivery. Collaborate with customers, suppliers, carriers, service providers, and strategic partners on operational matters. Represent the Company professionally during operational meetings, client meetings, site visits, and coordination activities. Support Company projects and strategic initiatives as assigned by Management. Authority & Accountability Authorized to direct, assign, and monitor daily operational activities and manpower within the Operations function. Authorized to coordinate directly with customers, service providers, carriers, customs brokers, warehouses, trucking providers, and other operational partners. Authorized to recommend operational arrangements, process improvements, resource requirements, and service provider actions, subject to Management approval where required. Authorized to require necessary operational documents, information, and updates from concerned departments and personnel. Accountable for the overall efficiency, productivity, and quality of the Company's operational activities. Accountable for timely shipment processing, delivery coordination, operational compliance, customer service support, and proper resolution of operational concerns. Responsible for the overall performance, productivity, discipline, and development of the Operations Team. Responsible for monitoring and controlling avoidable operational costs and risks. Responsible for timely, accurate, and complete operational reporting to Management.
