Since its founding, the academy has expanded its facilities and offerings, now serving infants through Elementary school across multiple locations, with a focus on creating a nurturing and globally-minded learning environment. Overview We are seeking an energetic and detail-oriented Operations & Facilities Manager to lead the maintenance and operational functions across our campuses. This vital role involves managing facilities maintenance team members, overseeing mechanical and electrical systems, ensuring safety compliance, and optimizing operational efficiency. The ideal candidate will possess strong leadership skills, technical expertise in mechanical and electrical systems, and a passion for maintaining safe, functional learning environments that support our educational mission. Facilities Management & Maintenance · Oversee the maintenance, cleanliness, and operational readiness of all SELA facilities across both campuses. · Conduct regular inspections of buildings, classrooms, common areas, playgrounds, and grounds to identify and address maintenance needs proactively. · Coordinate and supervise all repair, maintenance, and renovation work, including plumbing, electrical, HVAC, carpentry, and general upkeep. · Manage relationships with external contractors, vendors, and service providers; obtain competitive bids and oversee the quality of contracted work. · Maintain an up-to-date inventory of all school equipment, furniture, and physical assets across both locations. · Ensure all facilities meet fire safety, health, building code, and EEC licensing requirements at all times. · Oversee seasonal maintenance including snow removal, landscaping, and outdoor space upkeep. · Manage the setup and breakdown of spaces for school events, performances, and special programs. Health, Safety & Compliance · Serve as the school's primary point of contact for facility-related safety, licensing inspections, and regulatory compliance. · Maintain compliance with all applicable Massachusetts state regulations, EEC licensing standards, local health codes, and OSHA requirements. · Coordinate and document required safety drills, including fire drills, lockdown drills, and emergency evacuation procedures. · Manage the storage, labeling, and safe use of all cleaning agents, chemicals, and maintenance supplies in compliance with safety standards. · Conduct and document monthly safety inspections of employee housing properties managed by SELA, coordinating with landlords as needed. · Maintain accurate records of all inspections, incident reports, work orders, and compliance documentation. · Ensure all playgrounds, outdoor spaces, and student-facing areas meet current safety standards and licensing requirements. Operations & Logistics · Oversee daily operational logistics across both campuses, including opening and closing procedures, key and access management, and campus security. · Manage transportation logistics for staff, including coordinating shuttle schedules and vehicle maintenance where applicable. · Support the coordination of employee housing — including property checks, landlord communication, and move-in/move-out logistics for international staff. · Manage procurement of operational supplies, furniture, equipment, and maintenance materials; track expenditures against budget. · Oversee school vehicle use, maintenance schedules, and registration compliance where applicable. · Coordinate with the administrative team on scheduling, space allocation, and campus logistics for events and daily operations. · Manage vendor contracts and service agreements, ensuring timely renewals and cost-effective terms. Staff Supervision & Support · Supervise and support the Housekeepers & Campus IT/Operations team, providing direction, scheduling, and performance oversight. · Assign daily and weekly tasks to facilities and support staff, ensuring consistent standards are met across both campuses. · Serve as the primary point of escalation for facilities-related concerns raised by teaching and administrative staff. · Collaborate with HR on onboarding logistics for new staff, including workspace setup, key assignment, and campus orientation. Budget & Financial Oversight · Develop and manage the annual facilities and operations budget in collaboration with the Executive Director. · Track and report on operational expenditures, identifying cost-saving opportunities without compromising safety or quality. · Review and approve invoices from vendors and contractors within authorized spending limits. · Provide regular budget updates and facilities reports to school leadership. Technology & Systems · Oversee school-wide operational systems including security cameras, access control, intercoms, and alarm systems. · Coordinate with technology vendors and IT support for infrastructure needs related to facilities (networking, cabling, hardware installation). · Maintain a digital work order and maintenance tracking system; ensure all requests are logged, assigned, and resolved in a timely manner. Qualifications · Bachelor's degree in facilities management, business administration, operations, or a related field preferred; equivalent experience considered. · Minimum 3–5 years of experience in facilities management, operations, or building management, preferably in an educational or childcare setting. · Knowledge of Massachusetts building codes, EEC licensing requirements, OSHA regulations, and health and safety standards. · Demonstrated experience managing vendors, contractors, and service agreements. · Strong organizational, problem-solving, and project management skills. · Ability to prioritize and manage multiple tasks simultaneously across multiple locations. · Proficient in Microsoft Office, Google Workspace, and facilities/work order management tools. · Valid Massachusetts driver's license and reliable transportation required. · Must pass SAFIS/CORI background check and substance clearance. · Spanish language not required. Physical Requirements · Ability to lift up to 50 lbs and perform physical tasks including walking, standing, bending, and climbing stairs throughout the workday. · Ability to work both indoors and outdoors in all weather conditions.
