Operations Executive: In this role you will be pivotal in ensuring project delivery success and will report to the Operations Director. As the Operations Executive, you will be at the heart of the business, supporting the day to day running of projects, providing depth and strength to the wider team. You will deliver pro-active and comprehensive administrative support co-ordinating and driving timely and successful project outcomes from the office base in Wetherby. With the Operations Director frequently on remote site visits, you will have strong analytical capability and be able to anticipate (and resolve) challenges using personal initiative. Thus you will be self directed and highly motivated, fully able to take a high level brief and create a workable action plan with minimal supervision. Main Tasks of Role ▪ Work on Purchase Orders with contract values ranging from £100’s to £1M, reviewing documentation to determine alignment to quoted works and key details. Determining if scope of works and order value align with quotation and identify key details relating to such items as retention, attendances, key dates, company details, variations. ▪ Collate project specific information from and for the Operations Director, cross referencing completed works documentation against quoted works information to determine outstanding actions. ▪ Email correspondence, as directed, on behalf of the Operations Director. Send and respond to emails on behalf of others, as directed. ▪ Hired in plant and company equipment. Maintain accurate records of hired equipment - updating in line with on hire, off hire and disputes (e.g. late delivery). Maintain asset register for company owned equipment including up to date records of location and inspection dates. ▪ Assist with the preparation of project specific H&S documentation such as preparing draft copies of Risk Assessments and Method Statements (RAMS) based on information from costings matrix and site details. ▪ Gather information from site teams relating to fleet, stock and equipment, process, and action as required. E.g. booking van services and maintenance, liaising with hired in plant suppliers regarding issues. ▪ Stock control. Maintain accurate records of stock distribution and inventory. Place stock orders as required or directed. ▪ Booking, coordinating and tracking external training. Booking courses for initial training and renewal of accreditations. Maintain accurate records of completed training courses and certification. ▪ Administrative HR tasks. Prepare and process new starter HR packs and maintain HR portal relating to individual employee documents. ▪ Booking and coordinating travel arrangements, such as appropriate accommodation and transport as required Skillset & Experience Essential Experience: · Substantial demonstrable experience working in a senior administrative/multi facet co-ordinating role such as Administration Manager, Executive Assistant or as a Commercial PA · Experience of working across and supporting multiple stakeholders, building and sustaining strong constructive relationships with customers, suppliers, office co-workers and remote teams · Evidence of planning, managing and delivering projects on time, to agreed quality standards and on budget · Demonstrable track record of managing competing priorities to a high standard without compromising quality or deadlines Desirable Experience: · Evidence of writing Risk Assessments and Methods or Standard Operating Procedures Essential Skills: · Strong analytical skills · Resilient and resourceful approach to problem solving · Proactive, problem solver · Highly organised · Professional and accomplished in articulating complex information - written, over the phone and face to face · Meticulous record keeping · Numerical accuracy · Comprehensive and confident use of Microsoft 365 We will review applications together with our external recruitment consultant against the essential criteria specified for the role.
