Operations and Office Manager – International Law Firm About the Role Our client, a prestigious international law firm with a global presence across major financial and legal markets, is seeking an experienced Operations and Office Manager to lead the day-to-day operations of their Singapore office. This is a senior, hands-on role reporting to firm leadership, responsible for facilities, administration, HR liaison, and team management within a fast-paced professional services environment. Key Responsibilities People & Administration Oversee office administration, secretarial, and facilities/office services staff, ensuring efficient staffing and workload distribution Partner closely with HR on recruitment, onboarding, performance management, and employee relations matters Act as the office's point of contact for benefits, policy, and general HR queries, escalating complex matters as needed Support a positive workplace culture through employee engagement initiatives, wellness programmes, and internal events Facilities & Operations Manage vendor relationships across office services (catering, security, maintenance, transport, reprographics), including RFPs and contract negotiations Oversee building operations including reception, mailroom, conference services, security, and building maintenance (HVAC, electrical, life safety systems) Support space planning, office renovations, and fit-out projects in coordination with leadership and external consultants Maintain knowledge of lease terms, renewal dates, and related real estate documentation Financial Management Prepare and manage annual operating and capital budgets, tracking variances and expenses Review and approve invoices and expense reimbursements Support payroll processes and financial reporting for audit purposes Leadership & Strategic Improvement Lead and develop a high-performing team, fostering accountability and engagement Identify opportunities to improve efficiency, including through use of AI and emerging technologies Build strong relationships with internal stakeholders (partners, business services leaders) and external parties (landlords, vendors, banks) Contribute to strategic planning around cost containment, risk management, and organisational development Requirements Degree in Business Administration or a related field Minimum 5–10 years of office management/operations experience in escalating roles, ideally within a professional services or law firm environment Prior people management experience, with strong leadership and team-building skills Working knowledge of employment practices/HR processes Facilities and vendor/contract management experience Excellent written and verbal communication skills, with the ability to engage confidently with senior stakeholders Strong organisational skills, sound judgement, and ability to manage competing priorities in a fast-paced environment Prior lease negotiation or office fit-out experience is an advantage What's on Offer Opportunity to work with a leading international law firm Broad scope role spanning operations, HR liaison, and facilities leadership Collaborative, professional working environment At GreyTree Search, we connect exceptional talent with transformative organizations, enabling businesses to achieve their strategic goals and individuals to realize their full potential.
