Job Purpose The Office Manager is responsible for the smooth and effective operation of the office, overseeing administration, HR coordination, facilities and IT-related matters. The role requires strong organisational skills, independent judgement and the ability to identify issues, coordinate relevant parties and ensure matters are resolved. Key Responsibilities Office Operations and Administration Oversee day-to-day office operations and ensure administrative processes are effective. Coordinate with internal stakeholders, vendors, service providers and building management. Monitor office expenditure, budgets and resource requirements. Review and improve administrative processes where appropriate. Human Resources andEmployee Administration Coordinate day-to-day HR administration, including recruitment support, onboarding and offboarding. Maintain employee records and coordinate leave, benefits and other administrative matters. Respond to routine employee queries and support implementation of company policies and procedures. Escalate HR or employee matters requiring management attention. IT, Facilities and Vendor Coordination Act as the primary internal coordinator for office IT, facilities, maintenance and repair matters. Liaise with external IT providers and vendors and follow matters through to resolution. Coordinate employee IT requirements, including onboarding, offboarding, equipment, software and access. Maintain oversight of IT equipment and asset records and coordinate procurement or replacement where required. Coordinate with the Office & Administrative Assistant on practical office requirements. General Administration Oversee administrative filing and record-keeping systems. Support company events, employee activities and internal initiatives. Coordinate administrative projects and provide general support to management and Directors as required. Qualifications and Experience Diploma or Bachelor's degree in Business Administration, Human Resources, Management or a related discipline preferred. Minimum 3 years' relevant experience in office management, administration, operations coordination or a similar role. HR administration experience preferred; experience coordinating IT providers and vendors is advantageous. Professional services, corporate or multinational experience would be an advantage. Strong organisational, problem-solving, communication and interpersonal skills. Able to work independently, exercise sound judgement and manage multiple priorities through to completion. Professional, discreet and proficient in Microsoft Office and general business systems. Personal Attributes Highly organised, proactive and solutions-oriented, with strong ownership, attention to detail and the ability to remain calm and dependable while managing multiple priorities and stakeholders. Reporting Line Reports to the Directors or other designated senior management.
