The businesses operate within the residential property sector and provide similar services. The nature of the role therefore remains consistent, although individual tasks may relate to different companies depending on the property, client or matter concerned. This is a full-time, fully office-based position at our Northfields office , combining property and office administration with direct support to the Director. The role is varied and requires someone who can manage multiple priorities, work independently and take responsibility for progressing tasks through to completion. The successful candidate will play an important role in maintaining accurate records, coordinating outstanding matters, supporting day-to-day office operations and ensuring administrative tasks are dealt with efficiently. This is an administrative and operational support position and does not involve sales or lettings negotiation. Key Responsibilities Providing day-to-day administrative and operational support to the Director and wider office team Providing administrative support across multiple residential property businesses Managing incoming post, correspondence and general office administration Maintaining accurate property, landlord, tenant and client records Updating internal systems and ensuring information remains accurate and current Creating, updating and maintaining property listings and marketing information Preparing and updating property window displays and other office marketing materials Liaising with local authorities regarding council tax and other property-related matters Liaising with utility providers, contractors, landlords, tenants and other third parties Coordinating and following up outstanding maintenance, remedial and administrative matters Preparing professional correspondence, letters and documents Maintaining organised electronic files, records and documentation Processing authorised administrative amendments relating to properties, tenancies and payments Monitoring outstanding tasks and proactively obtaining responses or information Coordinating actions between the Director and members of the wider team Maintaining action lists and assisting the Director with priorities, reminders and follow-ups Gathering and preparing information for the Director's review or decision Following up delegated actions and ensuring matters are progressed appropriately Providing additional office and operational support as required Skills & Experience The successful candidate will be highly organised, reliable and comfortable managing a varied workload with a high degree of personal responsibility. The role requires: Excellent organisational and time-management skills Strong attention to detail and accuracy Excellent written and verbal communication skills A professional and confident telephone manner Strong general IT and administrative skills The ability to learn new systems and processes quickly The ability to manage multiple tasks and competing priorities effectively The ability to work independently and use initiative A proactive and resourceful approach to resolving administrative matters Confidence communicating with local authorities, contractors, clients and other third parties The ability to follow matters through and ensure outstanding actions are completed Sound judgement regarding when matters can be handled independently and when escalation is required A high level of accountability and discretion Confidence using modern technology and AI tools to improve efficiency Previous experience within estate agency, lettings, property management, property administration, office coordination or a similar professional environment would be advantageous but is not essential. Role Development The position provides exposure to the administration and operation of multiple residential property businesses and the opportunity to work closely with the Director and wider team. As the successful candidate develops their knowledge of the businesses, there will be scope to assume greater responsibility for administrative coordination, Director support and wider business operations.
