Job Summary We are seeking a proactive and organised Office Administrator to join our dynamic team. In this vital role, you will ensure smooth daily operations by managing administrative tasks, maintaining efficient office workflows, and supporting staff and clients alike. Available role suited to someone analytically minded, confident with technology, and motivated to improve how things are done. The role starts on a temp-to-perm basis, with scope to take on wider responsibility as the office and business grow. Key Responsibilities Maintain accurate records across office systems (e.g. Nourish, CarePlanner, Log my Care) and general correspondence. Prepare, format and quality-check documents, reports and spreadsheets using the Microsoft Office suite to a high standard. Use AI-assisted and other digital tools to speed up drafting, data entry, scheduling and reporting. Support basic financial administration: invoices, expenses, reconciliations and budget monitoring. Analyse office data (rotas, compliance trackers, expenditure) to spot trends and support decisions. Manage calls, emails and enquiries from staff, clients, families and external agencies. Coordinate diaries, meetings and office logistics, including minute-taking and follow-up. Maintain compliance-related filing in line with CQC requirements and internal policies. Proactively identify inefficiencies in office processes and help implement improvements. Experience Degree in Mathematics, Accounting, Business Studies, or a related analytical discipline. Strong analytical skills, with confidence working with numbers, spreadsheets and data. Strong IT proficiency, including MS Office, and comfort learning new software and AI-based tools. Excellent attention to detail and a high standard of accuracy. A proactive, improvement-minded approach and a fast learner. Strong communication and organisational skills; able to manage multiple priorities. Discretion and professionalism when handling confidential information. Desirable Previous administrative experience, ideally in health and social care or another regulated sector. Familiarity with care management software platforms.
