Multi-Site Dental Operations Manager
Location: Renton, WA – Two Dental Office Locations Job Type: Full-Time Compensation: $75,000–$90,000 per year, depending on experience, plus possible performance-based bonuses About the Opportunity We are an established, privately owned dental practice with two locations in the Renton, Washington area seeking an experienced Multi-Site Dental Operations Manager to oversee and strengthen the day-to-day operations of both offices. This is a key leadership position for someone who understands dentistry, enjoys developing people, and knows how to create systems that allow a dental practice to operate efficiently and consistently. We are looking for more than a traditional office manager. The ideal candidate will be a strong leader who can recruit and retain excellent employees, train and coach team members, hold people accountable, improve office systems, monitor practice performance, and create a positive and productive culture across both locations. Both offices use Dentrix and operate in a highly digital environment. What You’ll Be Responsible ForTeam Leadership & Staffing Recruit, interview and hire high-quality team members for both locations Develop effective onboarding and training programs for new employees Coach, mentor and develop existing team members Create clear expectations and accountability throughout the organization Address performance and personnel issues professionally and promptly Develop strategies to improve employee engagement and retention Help build a positive, professional and team-oriented workplace culture Identify future team leaders and help develop them Ensure appropriate staffing levels at both offices Practice Operations Oversee daily operations across both dental offices Create consistency in systems, policies and workflows between locations Develop and maintain office SOPs, checklists and accountability systems Identify operational problems and implement practical solutions Improve scheduling efficiency and provider productivity Monitor patient flow and office efficiency Help resolve patient concerns when escalation is necessary Coordinate with vendors and service providers as needed Ensure both locations remain organized, professional and well-run Dentrix & Practice Systems Maintain strong working knowledge of Dentrix Ensure team members are using Dentrix accurately and consistently Monitor scheduling, treatment planning, insurance, continuing care and financial workflows Review practice reports and identify areas requiring attention Help optimize Dentrix systems and processes across both locations Train team members on proper Dentrix workflows when needed Financial & Performance Management Monitor production, collections and schedule performance Review accounts receivable and outstanding patient balances Oversee insurance and claims-related workflows Monitor treatment-plan follow-up and unscheduled treatment Improve schedule utilization and reduce unnecessary openings Identify opportunities to improve practice performance Establish and track meaningful KPIs for both locations Provide ownership with concise, regular reporting on office performance Help develop and achieve monthly and annual practice goals What We’re Looking For The ideal candidate will have: 5+ years of dental office management or dental operations experience Prior experience managing a busy dental practice Multi-location or regional dental management experience strongly preferred Strong Dentrix experience required Demonstrated experience recruiting, interviewing and hiring employees Proven ability to train, coach and retain team members Strong understanding of dental scheduling and practice workflow Knowledge of dental insurance, billing, collections and accounts receivable Experience reviewing dental practice reports and KPIs Strong leadership and communication skills Excellent organizational and problem-solving abilities Ability to handle difficult conversations professionally Ability to hold team members accountable while maintaining a positive culture Comfort moving between two office locations as needed Ability to work independently and make sound decisions The Person Who Will Thrive in This Role You may be a great fit if you are someone who: Sees a problem and takes ownership of solving it Enjoys developing people and building strong teams Can be supportive while still holding employees accountable Understands that great dental practices require both great patient care and strong business systems Uses data and reports rather than relying only on intuition Can organize multiple priorities effectively Communicates clearly with doctors, clinical staff and administrative teams Wants the responsibility to make meaningful improvements Takes pride in creating an office environment where excellent employees want to stay What Success Looks Like Within this role, we want to see: Stable, appropriately staffed offices Strong employee retention Consistent training and accountability Efficient schedules and patient flow Improved production and collections Better follow-up on unscheduled treatment Healthy accounts receivable Consistent systems between locations Fewer day-to-day operational issues requiring doctor/owner involvement A team that understands expectations and works well together Why Join Us? Schedule Full-time position. This position requires regular presence at both Renton-area dental offices. The schedule will generally be during normal dental office business hours, with flexibility required based on operational needs.
