Position Title: Manager of Office Operations & Culture Reports to: Chief Operating Officer (COO) Location: 1649 61st Street, Brooklyn, NY 11204 — Onsite Pay: $85,000 – $95,000 annually Schedule: Monday to Thursday, 9:00am to 5pm; Friday 9:00am to 3:00pm About People Care People Care has served New York patients and families for 50 years and we are looking for you to enter the next 50. About the Position People Care is scaling fast, and with that growth we need someone who identifies gaps, manages them, and plans ahead. This is not a maintenance role — we're looking for someone who can bring structure to ambiguity, create accountability where it may not yet exist, and own this function with minimal executive involvement. The Manager of Office Operations & Culture is an operational leader who builds and owns the systems that keep People Care's headquarters and satellite locations running — office operations, facilities, the call center, front desk, workplace culture, employee engagement, and internal communications. The right person is a builder: someone who sees what is missing, designs the fix, implements it, and holds people to it — while fostering a positive, connected workplace culture across every location. Responsibilities Call Center Operations Supervise and schedule the call center team to ensure consistent phone coverage during business hours Monitor call volume, hold times, and service quality; coach reps on professionalism and accuracy Maintain call scripts, directories, and escalation procedures; update as departments and contacts change Coordinate with Coordination and Clinical when call routing or triage protocols change Front Desk Operations Supervise front desk receptionists across shifts; ensure professional greeting, visitor management, and package/mail handlin Maintain the visitor log and ensure compliance with building security and company policies Manage incoming and outgoing mail, courier packages, and certified-mail tracking Cleaning & Facilities Supervise the cleaning crew and manage cleaning schedules at Brooklyn headquarters Coordinate with building management for maintenance requests, repairs, and inspections; serve as the point of contact for building emergencies and utility issue Manage procurement of supplies and equipment — including processing orders, tracking deliveries, and creating purchase orders — and maintain vendor relationships and reordering schedules Oversee conference room setup, equipment readiness, and shared-space maintenance Ensure all locations meet health, safety, and accessibility standards Company Culture & Employee Engagement Plan and coordinate team-building activities, celebrations, and morale events (birthdays, holidays, milestones) Manage office ambiance including lobby TV screens, digital signage content, and common-area presentation Create a welcoming, energized office environment that reflects People Care's values Own internal communications displayed in shared spaces; coordinate company-wide events with department heads Build and maintain employee engagement programs that reinforce People Care's values and keep staff connected across locations COO & Executive Support Provide direct operational support to the Chief Operating Officer on office-level projects, follow-through, and cross-departmental coordination Prepare operational summaries, reports, and status updates as needed by the COO Serve as the COO's point person for day-to-day headquarters logistics and operational follow-through Day-to-Day Handle day-of staffing gaps in call center or front desk coverage (fill in or arrange backup) What Success Looks Like Problems are identified & solved before leadership hears about them.
