LOGISTICS & MIS EXECUTIVE

ROLE OVERVIEW

We are looking for a detail-oriented Logistics & MIS Executive to manage day-to-day logistics coordination, MIS

reporting, customs/regulatory liaison, and receivables tracking for our Dubai frozen food trading operations.

The ideal candidate combines strong Excel/reporting skills with hands-on logistics and government liaison

experience in the UAE and holds a valid UAE driving licence for site visits, bank runs, and municipal office

coordination.

KEY RESPONSIBILITIES

1. MIS & REPORTING

• Generate and maintain daily, weekly, and monthly sales reports (SKU-wise, account-wise, region-wise).
• Maintain current stock reports across warehouses—tracking stock-in, stock-out, ageing, and reconciliation with physical counts.
• Prepare vehicle utilization reports covering trip logs, load efficiency, idle time, and fuel/maintenance cost tracking per vehicle.
• Consolidate data into management dashboards (Advance Excel/Google Sheets) for leadership review.
• Flag discrepancies, slow-moving stock, and underutilized assets proactively.

1. LOGISTICS & DOCUMENTATION

• Coordinate inbound and outbound shipment documentation, including invoices, packing lists, delivery notes, and LPOs.
• Prepare and verify documents required for customs clearance such as Bills of Entry, Certificates of Origin, Health Certificates, and HS codes.
• Coordinate directly with customs and clearing agents to ensure timely clearance of import/export shipments.
• Track shipment status end-to-end and escalate delays immediately.

1. REGULATORY & MUNICIPALITY LIAISON

• Act as the point of contact for liaising with Dubai Municipality for trade licence renewals, food import permits, health/hygiene certifications, facility inspections, and related approvals.
• Maintain compliance records including Halal certification, food safety permits, and warehouse licensing, while tracking renewal timelines.
• Coordinate with government portals such as Dubai Trade and Mirsal for permit applications and clearances.

1. PAYMENTS & CASH MANAGEMENT

• Track payment receivables by following up with customers and accounts on outstanding invoices and maintaining an ageing report.
• Coordinate bank cash and cheque deposits while reconciling daily collections against sales records.
• Maintain petty cash records and support the finance team with reconciliation.
• Escalate overdue accounts and high-risk receivables to management.

1. GENERAL COORDINATION

• Liaise between warehouse, sales, and finance teams to ensure smooth information flow.
• Support ad hoc operational and reporting requirements as directed by management.

REQUIREMENTS

• UAE driving licence (mandatory): Role involves regular travel to banks, municipality offices, customs points, and warehouses.
• Experience: 2–5 years of experience in logistics, supply chain, or MIS/reporting roles, preferably within FMCG, frozen food, or food trading sectors.
• Technical Skills: Strong proficiency in MS Excel (pivot tables, VLOOKUP/XLOOKUP, dashboards); familiarity with ERP and inventory systems is a plus.
• Regulatory Knowledge: Working knowledge of UAE customs procedures and experience liaising with Dubai Municipality or similar regulatory bodies.
• Financial Acumen: Basic understanding of trade finance, receivables management, and banking procedures.
• Soft Skills: Good communication skills in English (Arabic or Hindi is a plus).
• Work Ethic: Organized, deadline-driven, and comfortable handling multiple reporting cycles simultaneously.

PREFERRED QUALIFICATIONS

• Prior experience with cold-chain or frozen food logistics.
• Familiarity with Dubai Trade and other customs/trade portals.
• Experience managing vehicle fleet or third-party transport vendors.

Pay: AED3,000.00 - AED4,000.00 per month
