Our firm's core service areas include trust and estate, tax, corporate, and transactional legal services for high- and ultra-high-net-worth families, primarily those who own their own businesses. Our firm thrives on providing a level of service on par with much larger firms. The person in this role is central to delivering that experience. Position Summary We are hiring a Legal Assistant to serve as the dedicated assistant to one or two partner-level attorneys and to support our tax and trusts & estates group as a whole. As noted above, this group provides tax and structural planning, estate planning, business succession, trust administration, and private M&A for high-net-worth individuals and closely held businesses. You will own professional and personal calendars, keep matters moving through steady follow-up, and handle billing and client invoicing. This role suits someone who anticipates needs, stays organized under volume, and takes pride in being relied on. You will closely monitor partner workflows, build and maintain calendars, and follow up through direct involvement. Key responsibilities: Partner support and calendar management - Manage the partners' professional and personal calendars, including client meetings, consultations, signings, court and IRS deadlines, travel, and personal appointments. - Schedule and confirm meetings with clients, co-counsel, accountants, financial advisors, and other professionals; resolve conflicts before they arise. - Screen calls and emails, triage requests, and keep the partners informed of priorities. - Coordinate travel arrangements and personal logistics. Proactive follow-up and matter coordination - Track open items, deadlines, and pending client deliverables; follow up with clients and third parties without being asked. - Maintain tickler and reminder systems so nothing falls through the cracks. - Gather client information and documents needed to move matters forward. Tax and trusts & estates group support - Prepare, format, and proofread correspondence, engagement letters, and miscellaneous legal documents. - Coordinate estate plan signing ceremonies, including witnesses and notarization, and assemble and distribute executed documents. - Assist with trust and estate administration tasks and tax filing deadlines. - Organize and maintain client files and records in the firm's document management system. Billing and client invoicing - Enter and review time and expenses in the firm's billing software. - Prepare, review, and send client invoices, including flat-fee and hourly matters. - Monitor accounts receivable and follow up on outstanding balances. - Open new matters, run conflict checks, and manage engagement and retainer paperwork. Qualifications Required - Experience as a legal secretary, legal assistant, or executive assistant (law firm experience preferred). - Experience managing calendars and appointments for a senior executive or partner, including personal scheduling. - Proficiency with Microsoft Outlook, Word, and Excel. - Associate's degree. Preferred - Experience working with trusts and estates, tax or transactional attorneys. Not required — we will train the right candidate. - Notary public commission, or willingness to obtain one. - Experience with document management systems and e-signature tools. - Working knowledge of Clio attorney billing software and the client invoicing process. Skills and attributes - Excellent organization: you juggle competing deadlines, calendars, and files with accuracy. - Proactive follow-up: you chase open items without waiting to be asked and close the loop. - Discretion: you handle confidential client financial, tax, and family information, plus a partner's personal affairs, with complete professionalism. - Attention to detail: you produce clean, error-free documents and invoices. - Client service: you are warm and polished with high-net-worth clients and their advisors. - Eagerness to learn: you want to expand your knowledge and abilities in our areas of focus.
