The primary mission of the Stanford University Hardware Program (SUHP) is to provide an asset management lifecycle service to the University that safeguards Stanford’s valuable hardware assets, mitigates the risks associated with fraud and loss, and optimizes our budgeting processes. The SUHP team seeks a talented Asset Management Analyst with exceptional organizational skills and expertise in ServiceNow to join our dynamic team. You will play a pivotal role in ensuring the security, integrity, and chain-of-custody for our hardware resources. Additionally, you will champion our environmentally responsible disposal practices while managing and optimizing our organization's assets and asset records, ensuring compliance with policies and regulations, and leveraging ServiceNow to streamline asset management processes. The expected pay range for this position is $80,000 - $100,000 per annum. Key Responsibilities: Asset Inventory Management, Tracking and Compliance: Maintain a comprehensive workstation hardware and peripherals inventory through the ServiceNow Asset Management module. Ensure accurate asset records are maintained. Conduct regular audits and assessments to track asset lifecycles, utilization, and depreciation. Adhere to and enforce asset management policies and procedures to ensure compliance with regulatory requirements and industry best practices. Asset Disposition: Coordinate the disposal or surplus of assets following Stanford policies and Stanford’s Property Management Office (PMO) Conduct monthly inventory counts with the team to reconcile against the expected stock. Collaborate with vendors to negotiate favorable pricing for asset purchases. Stay abreast of vendor hardware lifecycles. ServiceNow/Data Analysis and Reporting Expertise: Collaborate and coordinate with ServiceNow administrators to customize and optimize asset management modules. Utilize ServiceNow to automate asset management workflows, track asset requests, and streamline asset procurement processes. Analyze asset data to identify trends, cost-saving opportunities, and areas for improvement. Generate regular reports and dashboards to provide insights into asset utilization and performance. Documentation Management and Collaboration: Maintain accurate documentation related to asset management processes and procedures. Keep records of asset configurations, maintenance schedules, and procurement documentation. Collaborate with Local IT, finance, procurement, and other departments to ensure seamless asset management across the organization. Core Duties : Analyze and document user needs, existing and new policies, processes, procedures and operational methods to consider possible improvements to new and existing systems. Utilize elicitation techniques to understand business processes and translate into system requirements and/or development of systems solutions. Define and document business requirements and test cases for system developments. May include the writing of all or a portion of functional specifications. Coordinate with business and technology teams, ascertaining system requirements, such as program functions, output requirements, input data acquisition, and system techniques and controls. Problem solve in areas such as system design, input/output requirements and procedural flow between departments and/or business systems. Perform testing of new systems, upgrades and patching of existing systems; may include developing test plans. Conduct and document results of testing. May develop instructional materials, training and job aids. Minimum Education and Experience: Bachelor's degree and three years relevant experience or a combination of education and relevant experience. Knowledge, Skills and Abilities : Knowledge of computer system capabilities, business processes and workflow. Understanding of the software development life cycle. Experience with enterprise applications and understanding of database driven applications. Skill in conducting interviews. Excellent communication skills, both written and verbal, including the ability to bridge functional and technical resources by communicating effectively with individuals of varying systems expertise and business needs. Listening, negotiation and conflict resolution skills. Ability to maintain good customer relations with clients and external vendors and partners.
