We’re looking for an experienced and highly organised Intermediate Administrator to support the day-to-day financial, administrative, payroll, compliance, and operational functions of an Australian business. This is a great opportunity for someone who enjoys working across different areas of the business and has strong experience in accounts administration, AP/AR, payroll, purchase orders, reconciliations, reporting, and general administration . You’ll work closely with the Accounts Manager and broader operations team, while also liaising with clients, suppliers, subcontractors, employees, external accountants, and auditors . What You’ll Be Doing Your role will cover a broad range of finance and administration responsibilities, including: Accounts Payable & Receivable Process supplier invoices and payments accurately and on time Monitor outstanding customer invoices and follow up on overdue payments Reconcile customer accounts and resolve payment discrepancies Prepare customer statements and payment reminders Maintain accurate AP and AR records Purchase Orders & Vendor Management Issue purchase orders promptly and ensure required approvals are in place Monitor and maintain purchase orders Coordinate with suppliers and subcontractors regarding payments and account matters Assist with subcontractor and vendor compliance, including EFTSURE Reporting & Reconciliations Assist with monthly AP, AR, and financial reporting Perform monthly bank reconciliations Investigate and resolve discrepancies Maintain accurate and up-to-date financial records Payroll & Compliance Assist with employee payroll processing Process tax withholdings, benefits, and deductions Maintain accurate employee and payroll records Assist with BAS/IAS preparation and ATO requirements Support payroll tax and workers’ compensation compliance across Australian states and territories Budgeting & Financial Administration Assist with operational and project budgeting Support cash flow forecasting and financial planning Assist with contract administration from a financial perspective Ensure invoicing and payments are aligned with contractual requirements General Administration & Asset Management Maintain accurate asset-related records and monitor registrations and fines Assist with employee records, timesheets, and benefits Support general office administration, including utility and stationery requirements Assist the wider finance and operations teams with administrative tasks Communication & Coordination Liaise with internal teams, project managers, and field staff Communicate professionally with clients, suppliers, subcontractors, and external accountants Assist with audit requirements and provide supporting documentation when required Help ensure financial and administrative matters are handled accurately and on time What We’re Looking For We’re looking for someone with: A degree or diploma in Accounting, Finance, Business Administration , or a related field Proven experience in administration, accounts administration, bookkeeping, or finance administration Solid experience in Accounts Payable and Accounts Receivable Experience with payroll processing and administration Experience with bank reconciliations and financial reporting Experience assisting with BAS/IAS and ATO-related requirements Experience managing purchase orders, invoices, customer accounts, and vendor payments Experience working with suppliers and subcontractors Exposure to the Australian accounting and taxation environment is highly desirable Experience with EFTSURE or similar compliance platforms is an advantage Your Technical Skills You should be comfortable working with: MYOB, Xero, or QuickBooks Microsoft Office, particularly Excel AP/AR and payroll systems Bank reconciliation and financial reporting processes BAS/IAS and Australian taxation requirements Vendor and subcontractor compliance platforms What Makes You a Great Fit?
