ICT Engagements Coordinator
Location: Warsaw, Poland/Off-site Security Clearance: Not required Deadline for application: 02/10/2026 Skills, knowledge, experience required: Minimum education level: Level 6; Minimum English language proficiency (CEFR): B2; Minimum relevant professional IT experience: 5 years; Minimum experience in a similar position: 3 years; At least one of the following certifications: PM² (or equivalent), PRINCE2 (or equivalent), PMP (or equivalent). Any equivalent certification must be internationally recognized and accepted by the Contracting Authority; Strong knowledge of ICT project lifecycle, governance, and delivery methodologies, including PM² or equivalent; Good understanding of ICT infrastructure domains, including networks, data centres/cloud, databases, identity and access management (IAM), workplace services, monitoring, and operations; Good knowledge of planning and control tools, including schedules, milestones, action logs, decision logs, dependency logs, and change logs; Good understanding of ICT service management, change management, operational readiness, and service transition; Good knowledge of stakeholder, supplier, and contract coordination in an ICT environment; Ability to translate business needs into clear technical coordination activities, scope, deliverables, and acceptance criteria; Strong analytical, organisational, and problem-solving skills, with the ability to manage multiple priorities; Excellent communication, facilitation, reporting, and documentation skills, with a proactive approach and the ability to work effectively with technical teams, managers, business stakeholders, and suppliers; At least 3 years of experience coordinating ICT projects or technical initiatives in a similar role; Experience coordinating at least two ICT infrastructure projects or initiatives involving multiple technical domains; Experience coordinating dependencies across at least three of the following areas: networking, cloud/data centre, databases, IAM, endpoint/workplace services, cybersecurity/architecture, monitoring, or service operations; Experience supporting supplier engagement, procurement documentation, proof-of-concept activities, or implementation of ICT contracts; Practical experience with project and service management tools such as Azure DevOps, ServiceNow, Jira, Microsoft Project, Planner, or equivalent tools. Duties/role: ICT infrastructure engagement and technical readiness Coordinating assigned ICT projects and initiatives/engagements through initiation, planning, execution, monitoring and closure under the direction of the Frontex Project Manager or designated Operational Actor; Preparing and maintaining scope, plans, schedules, milestones, work packages, acceptance criteria and project-control records in line with PM², Agile or other Frontex-approved methods; Tracking progress, resources, risks, issues, changes and dependencies; escalating deviations and decisions requiring Frontex action; Coordinating several small or medium-sized initiatives in parallel and supporting the timely delivery of agreed outcomes; ICT infrastructure engagement and technical readiness Coordinating engagement across technical teams, including networks, cloud/data centre, cybersecurity, databases, IAM, modern workplace, monitoring, service desk and any other engaged teams; Facilitating technical scoping and readiness activities covering environments, access, capacity, integration, testing, architecture, security and operational dependencies; Coordinating interfaces between technical teams, business owners and specialist functions without replacing their technical responsibilities; Identifying blockers and cross-team dependencies and following them through the agreed governance and escalation routes; Stakeholder and supplier coordination Organising and facilitating project meetings, technical workshops, status reviews and decision sessions, while maintaining clear agendas, minutes, action logs and decision records; Coordinating communication and follow-up with business stakeholders, technical teams, external suppliers and consultants; Supporting the drafting and preparation of Procurement Requests, Requests for Service, Terms of Reference and related inputs; Supporting supplier mobilisation and contract implementation by tracking actions, man-days, deliverables, acceptance evidence and dependencies; Governance, reporting, transition and improvement Maintaining current plans, status reports, dashboards, action plans, decision logs, dependency logs, change logs and an auditable project repository; Preparing concise management reports and briefing materials; Coordinating testing, acceptance, handover, operational readiness, knowledge transfer, closure activities and lessons learned; Proposing practical improvements to coordination processes, templates, reporting methods and knowledge reuse across DOS.
