The position maintains HR records and trackers, processes employee documentation, supports employee lifecycle activities, assists with HR reporting, and ensures HR transactions are completed accurately and confidentially. KEY DUTIES AND RESPONSIBILITIES: Duties may include but are not limited to: Provide front-line assistance to employees regarding routine HR enquiries. Direct complex employee enquiries to the appropriate HR team member. Prepare employee letters, forms, notices, and other HR documentation as instructed. Maintain employee files and HR records in an accurate and confidential manner. Update employee information in HR systems and relevant tracking files. Track probation dates, contract dates, employee movements, resignations, and other HR activities. Assist with preparation of transfer, promotion, confirmation, resignation, and other employee documentation. Support attendance and employee data reconciliation. Coordinate signatures, document distribution, filing, and record retention. Assist in preparing employee reports, headcount information, turnover reports, and other HR statistics. Arrange HR meetings, employee interviews, and employee relations discussions when required. Take meeting notes and maintain documents as assigned. Support performance appraisal administration and follow up required forms. Assist with onboarding, orientation, employee communication, and engagement activities. Support exit clearance and exit interview arrangements. Coordinate with other HR sections regarding employee-related requests. Ensure employee information remains confidential and is shared only with authorized persons. Assist HRBP Supervisors and Managers with HR projects and administrative requirements. Maintain professional service standards when interacting with employees and managers. Perform other duties as assigned. KEY FUNCTIONS: HR Administration Prepare routine HR documentation. Maintain employee records and files. Update employee databases and trackers. Ensure documents are complete and properly authorized. Employee Service Respond to routine employee enquiries. Provide employees with appropriate forms and information. Direct complex cases to HRBP Supervisors or Managers. Follow up employee requests until completion. Employee Lifecycle Support HR Reporting & Data Maintenance HRBP Team Support Track probation, confirmation, transfer, promotion, and separation activities. Prepare supporting documentation. Coordinate approvals and signatures. Maintain accurate records of employee movements. Update regular HR trackers. Prepare basic headcount and employee reports. Check data accuracy before submission. Maintain orderly and secure records. Arrange meetings and prepare required documents. Support performance review and engagement activities. Assist with departmental HR projects. Provide administrative support to HRBP team members. QUALIFICATIONS INCLUDE THE FOLLOWING: College or Bachelor’s Degree in Human Resources, Business Administration, Management, or related discipline preferred. Minimum 1–2 years of Human Resources or administrative experience preferred. Fresh graduates with relevant HR internship experience may be considered. Basic understanding of Human Resources practices and employment administration. Strong attention to detail and accuracy. Good organization and time-management skills. Good interpersonal and customer-service skills. Ability to maintain confidentiality and handle employee information appropriately. Ability to work independently and as part of a team. Good Vietnamese communication skills and working English preferred. Positive, service-oriented, and willing to learn.
