HR Specialist (Recruitment - HRIS)
MAIN RESPONSIBILITY Responsible for managing and supporting the company's end-to-end recruitment activities, HRIS, employee records, onboarding, and general HR administrative functions to ensure efficient manpower acquisition, accurate employee information, and timely completion of HR processes. The position will work closely with applicants, employees, hiring managers, and other departments to ensure that recruitment and HR-related activities are properly coordinated, documented, updated, and implemented in accordance with company policies and procedures. The position is also expected to be flexible and willing to handle other HR-related tasks and special projects that may be assigned from time to time by Management or the HR Department. KEY RESPONSIBILITIESRECRUITMENT Handle the end-to-end recruitment process , from manpower requisition, sourcing, screening, interviewing, selection, and endorsement up to hiring and deployment. Source qualified candidates through job portals, social media, referrals, PESO, job fairs, walk-in applicants, and other recruitment channels. Review and screen applicants based on qualifications, experience, skills, and position requirements. Conduct initial interviews and coordinate succeeding interviews with hiring managers or concerned departments. Coordinate interview schedules, applicant updates, job offers, and pre-employment requirements. Monitor and ensure timely completion of pre-employment requirements. Maintain an updated applicant database and recruitment tracker. Coordinate with different departments regarding manpower requirements, vacancies, hiring priorities, and deployment schedules. Assist in manpower planning and monitoring of open positions. Participate in job fairs, PESO coordination, recruitment campaigns, and other hiring activities . Build and maintain a pool of qualified applicants for current and future manpower requirements. Prepare regular recruitment reports and provide updates regarding hiring status and manpower needs. Ensure that recruitment activities are conducted professionally and in accordance with company policies and standards. HRIS & EMPLOYEE RECORDS Maintain and update accurate employee information in the company's HRIS . Encode and update employee personal information, employment details, position, department, employment status, and other required employee data. Monitor employee movements such as new hires, transfers, promotions, regularization, status changes, and resignations . Ensure that HRIS records are consistent with approved HR documents and employee records. Assist in identifying and correcting discrepancies between HRIS data and actual employee records. Generate HRIS reports and employee-related data required by Management and the HR Department. Maintain accurate and organized employee files and personnel records. Ensure proper handling and confidentiality of employee information. Assist in the implementation, improvement, and updating of HRIS processes and procedures. Coordinate with concerned personnel or system support regarding HRIS issues and concerns. ONBOARDING & HR ADMINISTRATION Assist in the onboarding and orientation of newly hired employees . Coordinate employee requirements, documentation, orientation schedules, and deployment. Prepare and maintain HR documents, forms, letters, reports, trackers, and other personnel-related records. Assist in monitoring employee status, employment documents, and other HR requirements. Assist employees and departments with general HR-related concerns and documentation. Maintain organized and updated physical and digital HR files. Assist in HR audits, compliance documentation, and other HR administrative requirements. Assist in HR programs, activities, meetings, and company events as required. GENERAL HR SUPPORT & SPECIAL ASSIGNMENTS Willing to learn and assist in different areas of Human Resources as required by the business. Assist in SSS, PhilHealth, Pag-IBIG, DOLE, and other government-related HR transactions when assigned and properly trained. Assist in the preparation of HR reports, presentations, monitoring tools, and other management requirements. Assist in HR process improvement and implementation of new systems or procedures. Handle HR-related research, documentation, coordination, and follow-ups as assigned. Be flexible in handling additional HR responsibilities, administrative tasks, and special projects from time to time . Perform other duties and responsibilities that may be assigned by Management or the HR Department. QUALIFICATIONS Graduate of any 4-year course , preferably Human Resources Management, Psychology, Business Administration, Management, or a related field. With at least 1–3 years of relevant experience in Recruitment, HR, HRIS, or Human Resources Administration . Experience in high-volume recruitment, retail, food service, restaurant, or multi-branch operations is an advantage. Experience handling recruitment for multiple branches, outlets, or field personnel is highly preferred. Knowledgeable in recruitment processes, applicant sourcing, screening, interviewing, onboarding, and employee documentation. Familiar with HRIS or employee database systems and basic HR reporting. Proficient in Microsoft Office, particularly Microsoft Excel and Word . Strong organizational skills and excellent attention to detail. Good communication, interpersonal, and coordination skills. Able to maintain confidentiality when handling employee and company information. Strong follow-through and ability to manage multiple tasks and priorities. Proactive, resourceful, and capable of working with minimal supervision. Willing to undergo training and learn the company's HR processes, systems, policies, and procedures. Willing to learn and assist in different HR functions beyond recruitment and HRIS. Flexible and willing to take on additional tasks and responsibilities assigned from time to time . Must be available to start immediately. The candidate must be willing to undergo training and continuously learn the company's HR processes , particularly in recruitment, HRIS, employee records, onboarding, and general HR administration.
