HR Specialist
Requirements Bachelor's degree in Human Resource Management, Psychology, Business Administration, or a related field. Fresh graduate or at least 1 year of experience as an HR generalist or HR specialist role. Hands-on experience in end-to-end employee life cycle management. Prior exposure to government benefits processing (SSS, PhilHealth, Pag-IBIG, BIR) is required. Experience with HMO administration and Group Life Insurance coordination is an advantage. Familiarity with AEP and 9G Visa processing is a strong advantage. Strong knowledge of Philippine Labor Law and government-mandated benefits. Proficiency in HRIS platforms and MS Office applications (Excel, Word, Outlook). Excellent organizational and time management skills with ability to handle multiple tasks. High attention to detail, particularly in documentation and records management. Strong verbal and written communication skills. Ability to handle confidential information with integrity and discretion. Proactive, self-driven, and capable of working independently or as part of a team. KEY RESPONSIBILITIES Pre-Employment & Onboarding Coordinate pre-employment requirement checking, monitoring, and follow-up including NBI, Police, and PRC clearances. Facilitate scheduling of clinic appointments (Aventus Clinic) for pre-employment medical examinations. Coordinate and schedule Hiring Manager interviews with candidates. Prepare employment contracts for probationary and project-based hires. Process requisitions for laptops, corporate email creation, and HRIS enrollment. Prepare complete onboarding kits and company IDs for new hires. Perform BIR TIN verification and conduct NBI Online Checking for new employees. Facilitate Union Bank payroll account enrollment for newly hired employees. Government Benefits & Compliance Verify mandatory government numbers including HDMF (Pag-IBIG) contributions and membership status. Process and monitor PRF-AUB loan applications and INSTACASH requests. Administer PFP benefits including maternity leave allowance and intern stipends. Facilitate BIR TIN creation for expatriate employees. Process and monitor AEP (Alien Employment Permit) and 9G Visa applications for foreign nationals. Employee Movement & Records Management Facilitate PAM processing for regularization of employees and PAM transfers. Prepare and issue regularization letters upon completion of probationary period. Prepare End of Project Letters, Non-Renewal notices, and Project Transfer documents. Process and approve unpaid leave requests including Sabbatical Leave and Special Leave. Coordinate routing of Exit Clearance forms and conduct Exit Interviews for separating employees. Issue Certificates of Employment (COEs) as requested. Health & Insurance Benefits Administration Process Maxicare HMO additions and deletions for active and separated employees. Handle ECU scheduling and any Maxicare-related employee concerns or coordination. Process Group Life Insurance additions for newly regularized and newly hired employees. Monitor APM (Annual Physical Monitoring) results and maintain related records. Workforce Management & Project Monitoring Draft Project Renewal documents and maintain a monitoring tracker for project-based employees. Confirm and monitor Flight Agreements for employees with travel or relocation arrangements. Conduct site holiday checking and send official holiday announcements and emailers. Maintain and update the Holiday Manpower Tracker to ensure adequate staffing during holidays.
